Position Information
The R' Shared Service Center (R'SSC) is committed to creating a premier service experience for our clients that consistently exceeds their standards of quality, value, and excellence. Our services are performed by a best in class team of highly skilled and engaged service professionals, who participate in change management and continuous improvement strategies that expand our menu of service, broaden the service base, increase acceptance of the shared services model, and moves the R'SSC operation to the highest level of service and process efficiency and effectiveness. Please note: This is a continuous recruitment, to fill positions that become vacant throughout the year.

The R'SSC currently provides time reporting, payroll, on-boarding, leave administrative and transactional services for several campus units including Business & Administrative Services (BAS), Intercollegiate Athletics, Information Technology Solutions (ITS), the Office of the Chancellor, Office of the Provost and Executive Vice Chancellor, Office of the Vice Chancellor for Planning and Budget, Office of the Vice Provost for International Affairs, Office of the Executive Director for UC Mexico Initiative, University Advancement, Undergraduate Education, the School of Medicine, and Facilities Services and Architects & Engineers. Additionally, the R'SSC provides Live Scan fingerprinting services to the entire campus.

The R'SSC Shared Service Center Assistant ensures the timely and accurate review, preparation, processing, and auditing of payroll, personnel, leave and financial transactions. The Assistant also promptly coordinates and facilitates the on-boarding of various appointment types, by performing outreach to new employees, assisting with the completion of new hire paperwork, scheduling and processing background check appointments, and answering general questions about benefits.


Minimum Requirements
EDUCATION and EXPERIENCE
Four (4) years of administrative services experience supporting the areas of general HR, Finance, or Payroll with at least six (6) months performing one (1) or more of the core areas of responsibility (Workforce, Finance, On boarding, or Payroll Administration).

JOB KNOWLEDGE and CONTINUOUS LEARNING
Knowledge of job related principles, theories, and practices necessary to complete assigned duties. Skill and experience working with large complex online payroll systems; keeping accurate records with strict attention to detail; computing ratios, rates, and percentages; using business software applications to query data from systems and create forms, spreadsheets, and reports. Ability to make appropriate job decisions by following established policies, procedures, and best practices; learn quickly; engage in professional development activities; and apply background, technical knowledge, education, and prior job experience to job assignment.

SERVICE EXCELLENCE
Skill and experience providing excellent client service in a multi-function environment. Ability to deliver high quality, professional, innovative, and responsive service; build collaborative relationships with diverse client groups; actively listen to and resolve client service issues with tact and diplomacy; remain proactive and positive when faced with difficult situations; contribute to the development of a welcoming and inviting service environment; and maintain confidentiality at all times.

COMMUNICATION
Skill and experience independently creating clear and concise written communication that is grammatically and punctually correct. Ability to communicate effectively, both orally and in writing, with a diverse group of stakeholders.

TEAMWORK and COLLABORATION
Skill and experience working in a team environment. Ability to share knowledge with others; develop and maintain effective, professional, and collaborative working relationships with colleagues; and partner with others to solve problems, improve processes, and achieve results that support the operations and mission of the R' Shared Service Center.

OTHER REQUIREMENTS
Ability to sit, walk and stand for variable periods. Ability to use computer, keyboard, telephone and other office equipment. Ability to bend, kneel, stoop, lift, carry objects such as boxes of materials weighing up to 35 pounds, by hand or with the use of a cart or hand truck.

Hired applicant must possess a valid Driver's License, or have the ability to obtain a valid California Driver's License if driving a vehicle for university related business. Must successfully pass a background check through the Department of Justice and obtain certificate to Live Scan others.


Preferred Qualifications
Skill and experience providing customer service to unionized employees, students, or Faculty.

Six (6) months of experience working in a multi-function Shared Services or Call Center environment.

General Skill and experience using continuous improvement and problem solving methods, such as the principles of Lean and waste reduction.

Skill and ability using complex HR and Payroll systems such as PeopleSoft, Kronos, etc.
