Position Description
Performs administrative and coordinative work in direct support of an executive officer, including such functions as planning, budgeting, supervision and program implementation and evaluation. Performs responsible and complex office support duties, thus relieving the administrator of these duties. Work is performed under administrative supervision with evaluation based on results obtained.
Major/Essential Functions
- Exhibits professionalism in attitudes and actions, including appearance, attendance, cooperation, timeliness, courtesy, dependability, and attentiveness.
- Supports the Total Quality Management philosophy of the Office of Audit Services by looking for ways to improve our operations during daily work and contributing to overall quality efforts.
- Works independently and demonstrates initiative by prioritizing work properly. Demonstrates effective utilization of time and resources.
- Demonstrates sound judgment and common sense in decision making. Maintains confidentiality both internally and externally. Takes appropriate actions in dealing with and assisting staff.
- Accurately assembles and timely distributes reports to the Regents, Chancellor, Presidents, and state offices such as the State Auditor's Office and Legislative Budget Board in accordance with the established schedule.
- Handles and/ or prepares documents, forms, etc. according to departmental and institutional policy. (e.g., prepare forms and vouchers; maintain current information on departmental accounts; purchase equipment and supplies, etc.)
- Produces work with accuracy, neatness, and thoroughness. Handles a variety of duties (e.g., scheduling appointments, phone calls, mail, etc.) in a responsible manner.
- Demonstrates adaptability in adjusting to new or changing assignments.
- Supports the department in budgetary, fiscal and personnel actions. Facilitates hiring of new employees. Maintains confidential and routine records and files concerning personnel, payroll and budget.
- Demonstrates effective oral and written communication skills. Demonstrates the ability to build effective working relationships with other departments.
- Demonstrates a sound working knowledge of Microsoft Office programs, Adobe PDF Writer, Cognos, and other systems necessary to fulfill work requirements. Demonstrates the ability to learn new systems.
- Plans and distributes work to subordinate employees (e.g., student workers); provides training information to new and existing employees.
- Demonstrates a willingness to assist with whatever needs to be done to help the Office of Audit Services operate effectively and efficiently.

Required Qualifications
Bachelor's degree required in related area plus six years progressively responsible administrative experience including supervisory experience; OR a combination of education and/or experience to equal ten years.
