The Department of Theatre and Dance at The University of Texas at El Paso is a vibrant community of artists and scholars engaged in teaching, creative practice, and research. The department produces more than 20 shows each year, ranging from mainstage productions to touring performances and special projects. With a strong commitment to the performing arts, the department plays a vital role in enriching the cultural life of El Paso and the surrounding region.
Position Information
Hiring Department: Department of Theatre and Dance
Posting End Date: Open until filled. This posting may close once a sufficient number of qualified applications have been received.
Hours: 40 hours per week, standard Monday- Friday 8:00am- 5:00pm, flexibility is required on evenings and weekends
FLSA status: Non-exempt
Earliest Start Date: 10/01/2025.
Salary: $34,520 annually.

This position is security-sensitive and subject to Texas Education Code 51.215, which authorizes the employer to obtain criminal history record information. A valid driver's license issued by the State where the applicant resides and insurability as defined in UTS 157 may be required to perform the position's essential functions.
Purpose of Position
Summary: Under moderate supervision, provides coordinating services, keeps official records, and executes administrative polices determined by or in conjunction with other officials, within area of assigned responsibility.
Essential Functions
Provides administrative support to the Department of Theatre and Dance by managing all aspects of office operations: front-desk supervision, processing of expenses and invoices, tending to walk-in guests and queries, etc.
Greets and assists guests. Screens calls and responds to or routes inquiries from external or internal sources with appropriate correspondence or other messaging.
Supervises student-staff by assigning duties, handling onboarding for student employees at the Dinner Theatre, reviewing timecards for payroll runs, and coordinating student availability for office staffing and for college special events.
Oversees the recruitment, scheduling, and supervision of ushers during production runs, ensuring they are trained, assigned to appropriate duties, and prepared to provide a welcoming and organized experience for patrons.
Schedules and coordinates meetings, travel, and other group activities. Manages expense reporting, invoicing, office supply inventory and needs, or other routine processes.
Oversee all items relating to ticket sales, reservations, ticketing, and front-of-house operations.
Prepares memorandums, reports, and purchase requisitions; and gets necessary document approvals. Composes, prepares, and proofreads confidential correspondence, reports, and other complex documents, files correspondence and other records.
Coordinates advertising and design for the Dinner Theatre through printed materials and social media/online platforms.
Manages calendars and independently schedules appointments.
Acts as a liaison for management by effectively interacting with faculty and campus personnel.
May process personnel action paperwork in conjunction with established organizational policies and procedures.
Processes various types of requests through PeopleSoft, purchasing software, and other university systems; ensures timely payment for vouchers, purchase orders, and/or reimbursements. Oversees payments to internal and external vendors and tracks work orders across various campus offices (business, facilities, etc.).
Reconciles procurement cards and Dinner Theatre cost centers monthly
Outlines and explains university procedures and policies to supervisory workers, and monitors compliance. Maintains files, internal databases, and archives of relevant records.
Arranges programs, events, trainings, and meetings by coordinating with facilities, catering, issuing information or invitations, coordinating speakers, and controlling event budget, and assisting with auditions in collaboration with show directors.
Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings, and accompanies office staff when requested.
Maintains a high degree of confidentiality on all sensitive information this position is privy to.
Possesses knowledge of all Microsoft Office software and able to learn and use institutional software systems.
Complies with all State and University policies.
Performs other duties as assigned.
Supervisory Responsibilities: Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.

Required Qualifications:
Education: Bachelor's Degree.
and
Experience: None. Equivalent combination of education and experience may be considered.
Preferred Qualifications:
Bachelor's degree and 5 years related experience in an office or university office setting.
Previous experience in guest relations
Previous experience in theatre, performing arts administration, or a related creative field, with familiarity in production support, front-of-house operations, or promotional activities, is preferred.
