Responsibilities:
The Administrative Assistant coordinates and directs the flow of advising and office services for 4000+ students on behalf of the Associate Dean, Assistant Dean, and other Administrators, as well as a team of professional advising staff. This position is essential to the smooth functioning of the office. By providing support services, this frees up the advising staff to carry out their primary function of advising students. The efficient and accurate dispensing of information and the monitoring of student inquiries is a significant responsibility. The person in this position is the first contact any individual has with the D'Amore-McKim School of Business, Undergraduate Programs, and in many cases the University. It is a highly visible and at times an extremely hectic and demanding position. Special care must be taken to develop a successful and rewarding relationship with each client. This individual serves as the front desk customer service representative who assists in overseeing the daily office functions of the Undergraduate Programs Office, at the D'Amore-McKim School of Business. The Administrative Assistant will provide firm and cohesive direction to all customers while maintaining an office atmosphere responsive to student needs. Position requires thorough knowledge and understanding of D'Amore-McKim School of Business and university policies and procedures and staying up to date on the same. This person must ensure that the student-centered unit is effectively run and is charged with making the student experience a positive one. This position requires the ability to handle many situations with tact and efficiency, including those that are urgent in nature.

Qualifications:
A minimum of two years of office experience is required. Associate's Degree required; Bachelor's Degree

preferred. Previous experience in a higher education is a plus. The successful candidate will:

  • Possess the ability to successfully function in a fast-paced environment with strong prioritization, organizational and administrative skills.

  • Have excellent computer skills (Microsoft Office Suite) and the flexibility to adapt to new technology and various computer/software applications.

  • Ability to access and research information via the Internet and respond to telephone inquiries.

  • Extremely strong oral and written communication and interpersonal skills.

  • Be able to communicate an interact effectively with diverse backgrounds and across multiple levels.

  • Value and provide confidentiality around sensitive issues and determine appropriate levels of communication around sensitive information.

  • Display self-motivation and initiative and the ability to work independently.

  • Demonstrate dependability, strong work ethic and the ability to make some independent decisions.

  • Represent the Undergraduate Office in a professional manner and work successfully with college age students
