Administrative Assistant (FT)–College of Arts & Sciences

Effective immediately: (FT) Administrative Assistant – College of Arts & Sciences - Wilmington University, New Castle.

Requirements: An associate's degree or equivalent is preferred. A minimum of two years of experience, preferably in administrative, secretarial, clerical, or event planning in an academic office setting. Must have excellent communication, customer service, and organizational skills. Must be computer literate and proficient in Microsoft Office products, analytical background preferred. Must be a self-starter with excellent organizational, interpersonal and communication skills. Must have the ability to work independently, as well as in a team environment. The ability to maintain professionalism and confidentiality in any situation is a must.

Responsibilities include (but are not limited to):
Provide information to guests and students in the open area where the work area is located.
Handle incoming telephone calls and in-person drop-ins.
Be familiar with all College of Arts & Sciences courses and programs.
Work closely with Program Chairs to facilitate exceptional communication and service to students.
Assist with information sessions and support open house events for students and dinner meetings for adjuncts.
Serve as the primary point of contact for the collection and organization of Outcomes Assessment data. This includes collecting outcomes assessment (OA) data from instructors, maintaining a database of the OA data, and formatting the OA data for the Office of Institutional Research which will be used by the faculty and administration.
Maintain online Applicant Tracking database (i.e., Taleo) for new applicants, communicate information to chairs and email applicants with status changes.
Maintain relationship with textbook publisher representatives and order desk copies of the most current editions of books and supplemental materials for instructors and communicate changes with campus bookstore.
Determine appropriate reports in CAMS to pull data for projects.
Assist faculty with word processing, copying, faxing, travel arrangements, reimbursements, etc.
Perform other duties which may be assigned by the Department/Program Chairs or Dean.

Hours of Employment: Hours will alternate Monday – Friday between 8:30 a.m. – 4:30 p.m. and 10:00 am to 6:00 pm. The candidate is expected to be flexible with his/her hours to meet the needs of the College and/or the University.

Salary Range: Commensurate with experience
