Responsibilities*
Act as the primary support person to the Dept Chair in respect to her calendar, P-Card and travel. Act as the primary support to the Program and Clinic Directors for the Orthodontics program. Provide support and coordination to all Orthodontic full time and part time faculty members. Assist with all aspects of the Orthodontic Program. Assist the Department Manager with faculty recruitment in the scheduling and coordination of visits to the SOD. Reconcile faculty expense reports for their PCards in the Concur system. Maintain tracking of faculty time away. Write, type and distribute correspondences for the orthodontic program as requested.Act as a liaison with the School of Dentistry's and University's Finance/Accounting and Procurement. Create purchase orders for specialized departmental items, process non-PO vouchers and reconcile PCard expenditures for Orthodontic faculty. Process faculty membership dues renewal. Process cash receipts for non-gift checks/cash received. Create and run ad hoc reports in the financial system, tailored specific to the Department Manager, Chair or faculty members need.Handle and process graduate student applications (using PASS), schedule interviews (and related events requiring hosting functions for Orthodontic resident interviews) and inform accepted students. Handle special events including, but not limited to, Orthodontic graduation, student thesis defenses and special speakers/visitors. Gather and coordinate all the resident's schedules for each term/semester, update their calendars and book rooms as needed. Process all travel reimbursements for Orthodontic residents for their five (5) meetings per year. Provide new residents their credentialing packet for completion.

Required Qualifications*
Two or more years of previous administrative experience. Experience working in an academic office supporting a faculty, staff and residents/students. Excellent computer skills. Excellent communication skills. Excellent organizational skills. Excellent attention to detail. Excellent ability to multi-task in a busy, fast-paced environment. Excellent attendance record.

Desired Qualifications*
Computer experience and Google Suite (Google docs, Google sheets and Google calendar). Knowledge/experience in M-Pathways procurement (P-Card reconciliation, Marketsite ordering, purchase orders, running M-Reports, etc.). Previous Dental School experience.
