Job Description:

In compliance with the State of California, Board of Registration in Nursing (BRN), regarding the management of a nursing skills lab, this administrative assistant would be responsible for those duties that do not require a licensed RN. Besides secretarial and other administrative assistant responsibilities to the Simulation Lab Director, other duties include controlling inventory of office supplies in the skills lab; as well as providing general administrative support to students, clinical faculty, and to the Standardized Patient Simulation Program. This assistant acts as liaison between the CNSL and the School of Nursing building as a point of contact for general lab information and independently manages the upkeep and maintenance/repair requests for the Simulation Nursing Lab. Directly supporting the Simulation Nursing Lab Director, general supervision from Assistant to the Dean.

Responsibilities
Clinical Nursing Lab Reception and Telephones
Communicate in a positive, professional manner with faculty instructors, students, standardized patients and other users of the Simulation Center.
Provides general information to telephone and walk-in inquiries
Posts lab hours and faculty office hours
Creates, maintains, and coordinates the Google Simulation Center Calendar
Opens and sorts mail for the general lab faculty and coordinator
Maintains bulletin boards in the lab
General secretarial responsibilities
Maintains/waters plants in the DNSC and adjoining spaces
General Lab Responsibilities
Track all lab activities each semester using Google Calendar and coordinate lab space with SON.
Set up meetings as needed.
Coordinate and schedule monthly DNSC Team Meetings
Create and maintain minutes from monthly DNSC Team meetings and store on the LAB Share Drive
Order office and coffee supplies.
Purchase equipment, supplies, food, etc. for lab using T&E Visa card, collecting the necessary receipts, and detailing justification of each item.
Prepare monthly T & E Expense Reports, Petty Cash Vouchers and Travel Request Forms (DNSC and the Director).
Arrange for airfare, registration and hotel accommodations for Director/faculty.
Maintain the DNSC Director's official Google Calendar.
Assign, track & collect lab keys to faculty and staff.
Arrange for cleaning and maintenance of building as needed or directed by the lab director.
Ensure proper safety protocols
Create and Maintain check out system for any lab equipment or supplies.
Support for Standardized Patient Exam Program (SPE)
Maintain current calendar of all SP events and simulation activities
Recruit and orient SPs for simulation activities.
Maintain SP employee files.
Contacts and schedules actors under the guidance of the SPE Program Coordinators for training and SP events.
Complete all personnel forms required by human resources for new patient actors.
Process all SP timecards
Communicate final details with SPE Program Coordinators and Tech at completion of SPE recruitment and discuss details of event.
Field emails and recruitment issues of actors
Maintain database of SP assignments and cases performed along with pool of patient actors (resumes, head shots)
Coordinates the development of flyers related to the SPE program.
Be available at SPE events, order food, and facilitate set up, clean up, timing, and proctoring.
Maintain simulation budget related expenses for each semester (labor hours, food, supplies) and year-end.
Keep case bank files.
Special and Interprofessional Simulation Center Events (IPE)
Schedule and coordinate events.
Recruit and organize nursing faculty.
Create and maintain required CEU information for events and participants.
Help with physical set up and delivery of needed paperwork and equipment.

Qualifications:
High school diploma required; college degree preferred.
Minimum of 3 years office experience, showing progressively responsible administrative and clerical experience.
Medical knowledge preferred – experience as med-tech, LVN or RN, paramedic helpful. No current license necessary.
Ability to present oneself enthusiastically, articulately and professionally both on the telephone and in person.
Basic bookkeeping skills.
Intermediate to Advanced computer knowledge and data base development.
Excellent knowledge of the English language, i.e., spelling, punctuation, grammar.
Ability to organize and prioritize work and tasks effectively and efficiently.
Ability to follow through on projects and to work with minimal supervision.
Ability to maintain a professional punctuality and a consistent attendance record.
Ability to maintain strict confidentiality.
Ability to operate photocopier and fax machine.
Ability to anticipate needs and independently problem solve
Ability to work collegially as part of a collaborative Simulation Center Team.
Flexible schedule – hours and days may vary as needed.

Salary: $20.00 - $22.00 per hour; Excellent Benefits.
