Position Purpose:

Direct Appeal Services is a driving force in the efforts to increase Santa Clara University's alumni participation and annual giving rates.


The Director of Direct Appeals reports to the Executive Director for Annual Giving and is primarily responsible for the creation, coordination, evaluation and execution of the direct appeal program for Santa Clara University. The Director works with the Development Office, University Marketing & Communications, schools, colleges, centers of distinction and the athletic department to provide guidance, write content for and execute a direct appeal program aimed at maximizing annual contributions to various funds with a primary emphasis on the Santa Clara Fund.

The Director must draft content, coordinate design and ensure the production of direct appeal solicitations in a timely, accurate, and cost-efficient manner. This position is also responsible for coordinating vendor activities for direct mail and coordinating the Development Office's Website.

The Director oversees a Direct Appeal staff and interacts with Development AVPs and directors, Alumni Association managers, the Office of the President, directors of external relations across schools and centers and outside vendors.

Essential Duties and Responsibilities:
1. Manage SCU Development Office direct appeal program by developing and implementing mail, electronic mail and other internet communications and appeals.
2. Develop a comprehensive plan for all direct mail and email solicitations across campus, coordinating with external relations directors and other campus partners.
3. Collaborate with Development staff, schools, colleges, centers of distinction and athletic department to develop, manage and implement solicitation materials including production and distribution.
4. Manage the Development Office website. Generate content and keep website current by developing strategies to integrate social media (Facebook, Twitter, etc.) in our overall fundraising communications.
5. Work with Reunion Giving Officers to coordinate the direct mail and email solicitations for 10 reunion classes.
6. Supervise Direct Appeal Manager, providing strategic direction and day-to-day supervision of program related activities.
7. Work with Director, Student Call Center to coordinate the direct mail and student calling programs by creating an overall annual fund calendar.
8. Coordinate appeal codes and segmentation with Advancement Services team.
9. Develop and implement the Universitys annual staff/faculty appeal.
10. Research prospective vendors, evaluate bids for services, and establish working contract. Serve as primary contact with outside print and mail house vendors to schedule projects, and produce and execute mailings. Oversee vendors to ensure timeliness, quality and accuracy of mailings, including proofing copy, data files, and design specs and samples.
11. Manage direct appeal budget.
12. Develop segmentation strategies and prepare complex programming data requests to be utilized by the Systems Administrator, then review and ensure accuracy and security of constituent data.
13. Keep informed of U.S. Postal Regulations and Policies as they relate to direct mail.

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Physical Demands:
1. Considerable time is spent at a desk using a computer terminal.


2. May be required to travel to other buildings on the campus.


3. May be required to occasionally travel to outside customers, vendors or suppliers.


4. May be required to attend conference and training sessions within Bay Area or in- or out-of-state locations.


5. May be required to work flexible hours (occasional evenings and weekends).

Knowledge:
a. Demonstrated experience in project management.
b. Experience providing exemplary customer service to internal and external clients.
c. Understanding of and compliance with University guidelines and confidentiality in communications with external constituencies including volunteers, prospects and donors.
d. Knowledge of direct mail print production and/or annual giving programs.
e. Understanding and appreciation of the mission of Santa Clara University and of the vision and values of a Jesuit Catholic educational institution.

Skills:
a. Proficiency in Adobe Illustrator, Photoshop, Flash and CommonSpot (T-4) or other web development programs.
b. Proficiency and experience in Microsoft Office products, spreadsheets, Google products (i.e. Google docs, Gmail, etc.), CRM/BBIS database, and an ability and willingness to learn new software if needed.
c. Excellent oral and written communication skills are required. Editing, proofreading, basic copy writing skills are needed (writing samples may be requested).
d. Demonstrated interpersonal skills and the ability to collaborate, build alliances, and achieve results.
e. Demonstrated skill in motivating others.
f. Must be detail-oriented, analytical, and have outstanding organizational skills.

a. Ability to adapt quickly and a willingness to learn new systems and tools.
b. Ability to motivate, build long-term relationships with and gain the respect of internal and external colleagues.
c. Ability to manage time and work load to multitask and achieve goals in a deadline driven environment while maintaining a strong attention to detail.

e. Demonstrated ability to work in a fast paced, dynamic team environment.
f. Ability to develop project management systems and manage multiple projects simultaneously with maximum independence.

Education and/or Experience:
Bachelors Degree required. Four to six years of professional experience with project management experience, preferably in a higher education environment and/or fundraising or sales environment.
