Position Information:
This position provides high-level support and coordination to the Vice Chancellor, Student Affairs. This position will supervise another Executive Assistant. The incumbent is a creative, independent problem-solver who is confident, proactive, adaptable, and observant. Sound judgment, tact, discretion, close attention to detail, and the ability to multi-task under pressure are essential characteristics. The ability to learn quickly and a willingness to welcome new challenges also are indispensable. The Executive Assistant is responsible for representing the Vice Chancellor office in a professional manner to a variety of internal and external constituents, including other Vice Chancellors, Deans, staff, students, community members, visitors, and the UC Office of the President. The incumbent has a thorough understanding of the Vice Chancellors priorities and expectations, coordinates and prioritizes the Vice Chancellors schedule, and ensures that the Vice Chancellor is briefed and prepared for meetings and events. This position will direct and coordinate the work of the second Executive Assistant in the office. The incumbent also assists with communications and events sponsored by the Student Affairs administration office and provides partial scheduling support for the Vice Chancellor. The Executive Assistant is also expected to continually enhance his/her skill set through ongoing professional development.

Education Requirements
Bachelor's degree in related area and/or equivalent experience/training.
Required
Advanced degree in related area.
Preferred

Valid Drivers license

Experience:

6 - 10 years of related experience.
Required

Demonstrated extensive and progressive experience providing high-level executive, project management and analytical support within a complex organization; including experience in coordinating special events, appointments, meetings, briefings and committees.

Skill in expressing ideas clearly and convincingly; skill in identifying the correct issues to be communicated, the appropriate audience, the method of communication and the timing of communication.
Political acumen and sensitivities to the differing perspectives and political circumstances within all levels of the organization as well as the Office of the President and external constituencies.
Demonstrated ability to use sound judgment and tact in all matters, while paying close attention to detail.
Small to mid-level project management skills.
Strong analytical/problem-solving skills.
Advanced service orientation.
Ability to use a high level of discretion and maintain all confidentiality.
Strong skills to communicate and influence effectively with all levels of staff, faculty, alumni/donors, students and external constituents, both verbally and in writing.
Ability to multi-task with demanding timeframes.
Demonstrated skill in use of informational systems with software in a Windows-environment (Word, Microsoft Exchange, Corp Time, Excel, Access, PowerPoint).
Strong research and analytical skills to evaluate issues and develop solutions to address complex and sensitive problems/issues. Demonstrated skill in determining needs and requirements to create a conceptual design for issue/problem analysis; skill in observing and evaluating the outcomes of a problem to identify key issues; skill in formulating logical and objective conclusions and recommendations.
Ability to anticipate and identify critical issues, perform data collection, obtain advice and input from campus resources as necessary, and formulate solutions prior to consultation with the Vice Chancellor.
Ability to function at an executive support level within a complex institution with demonstrated progressive experience in providing administrative and analytical support, including experience in coordinating special events, appointments, meetings, briefings, and committees.


Preferred Qualifications:
Advising and counseling skills.

Intermediate to advanced knowledge of common organization-specific computer applications.

Advanced knowledge of the organization's processes, protocols and procedures.

Demonstrated working knowledge of university structure, organization and key administrative players.

Knowledge of federal regulations such as FERPA.

Previous supervisor experience directing the work of others.
