Site Associate (PT) – Joint Base (McGuire-Dix-Lakehurst), NJ

Effective immediately: (PT) Site Associate – Administrative Affairs, NJ – JB-MDL, Wilmington University.

Requirements: An associate's degree is required, a bachelor's degree is preferred. Must have sufficient experience to successfully perform the job. Must have excellent communication, customer service, and organization skills. Must be detail-oriented and able to work with diverse populations. Must be self-directed and able to make decisions independently. Must be computer literate and proficient in Microsoft Office products, including Word and Excel. Must be able to type 35-55 wpm. The ability to maintain professionalism and confidentiality in any situation is a must.

Responsibilities include (but are not limited to):
1. Knowledge and ability to perform processes specific to position:
Enter prospects and applications into system; scan, link, and process student documents and University forms.
Guide students for program and course selection.
Update completion degree guides.
Plan academic schedule for students - use Workflow and Advising Portal.
Register students for classes.
Enter credits into Degree Audit.
Master's programs- check pre-requisites/program specific documentation/schedule program specific interviews.
Complete Drop/Add/Withdrawal forms and process in system.
Maintain personal student information (FERPA).
Assist with TA and Veteran benefits.
Process FA documents.
Liaison for Wilmington University with Ed Center staff.
Assistance with billing process-3rd party business department.
Complete preliminary graduation checks.
Attend assigned trainings and meetings when requested.


2. Student Support Service Processes:
Assist with orientation for new students (military, civilian and international): prospects, applications, FA process, attendance policy, Blackboard, e-mail, Wilmington University debit card refund options, course formats, tutoring, tuition and answer questions for student concerns.
Instruct students for myWilmu and Blackboard, if needed.
Assist students by locating forms/checking on incomplete FA documents; contact designated FA advisor.
Handle all contact with students in a professional manner – phone/emails/faxes/walk-ins; assist with inquiries, appointments, and answer questions/address concerns of students.
Contact students through email for needed documents.
Guide online students.


3. Faculty Support:
Provide administrative support assistance with copies, classroom technology, special events, make-up tests, and other services needed.

4. Site Specific Responsibilities:
Secure Building 3829 on specific Saturdays when classes are being offered.
Assist site manager when needed.
Assist students with registration for Accuplacer.
Monitor Accuplacer tests, student/faculty passes, and gate lists.
Clean and maintain classrooms and offices.
Attend JB-MDL events as assigned.
Participate in CCAF graduation festivities.
Attend and support the JB-MDL building functions.
Attend and support education & training functions.


5. Duties Specific to Position (To be Assumed when Other Staff is Absent):
All duties of the clerical and student support-services levels that are needed to maintain the efficiency of all processes which will allow the office/services to function smoothly.

6. Perform other duties as assigned by the Regional Manager and Manager.

Hours of Employment: Wednesday – Friday from 10:00 am – 5:00 pm. Saturday (when classes are held) from 8:30 am – 5:00 pm. A set schedule of hours will be determined by the supervisor between the hours listed above—not to exceed 25 hrs./wk. Flexibility will be needed when courses are offered. The candidate must be flexible enough with their schedule to meet the needs of the site and the University, including traveling to other NJ sites.
