The Student Service Specialist position for the Office of Housing and Residence Life at UNC Pembroke is responsible for coordinating all administrative operations, and supervision of a student housing facility/apartment area and community center to include selecting, training, supervising and evaluating undergraduate Residence Life staff and a full time area office operations assistant (where applicable). Participate in departmental committees, and manage operational functions within the assigned area. Meet the needs of residents through personal counseling, residential curriculum development and implementation and programming other student engagement efforts. Develop and maintain liaison relationships with other Student Affairs and Campus Life Offices and participate in the overall planning and management within the Office of Housing and Residence Life.

This position reports to the Associate Director for Residence Life and supervises all undergraduate Residential Life staff and a full time Administrative Support (where applicable) assigned to their respective residence hall(s) and or apartment(s).

REPRESENTATIVE DUTIES
Duties may include, but are not limited to the following. Other duties may be assigned.

ESSENTIAL DUTIES
  • Supervise undergraduate students working as Resident Advisors in Housing and Residence Life. Supervise support staff and student office staff working within housing facilities office; monitor and evaluate work performance in accordance with Department and University goals, objectives, policies and procedures. Ensure compliance with procedures.

  • Work to implement the goals and priorities as outlined in the departmental master plan including student development and operations components, in assigned facility. Provide leadership for Resident Advisor staff in setting goals for the year. Serve on departmental committees. Recruit, select, and train Resident Advisors; monitor work performance for accuracy and completeness in accordance with Department and University goals and objectives; ensure compliance of staff with established Residence Life policies and procedures.

  • Participate in recruitment, selection and training for all Resident Advisors. Create and implement staff development programs in conjunction with the Associate Director; attend, participate in and help plan, professional development sessions and training.

  • Evaluate the performance of various residence life staff members including Resident Advisors, colleagues, supervisor, area administrative support associates and committee members on a regular basis and during the yearly departmental evaluation process.

  • Serve as primary personal counseling resource for staff and students in dealing with specific residence hall and apartment problems including roommate conflicts, personal and emotional problems, diversity issues, and other developmental concerns; Develop a familiarity with campus and community resources to ensure timely, efficient referrals when appropriate.

  • Establish and maintain communication with students living in the facility through individual contacts, meetings, and discussions. Serve as a mediator/facilitator when necessary to provide resolutions for interpersonal conflicts between students.

  • Meet with students and serve as Judicial Hearing Officer for students referred for disciplinary concerns; enact appropriate judicial sanctions and/or developmental counseling to effectively resolve disciplinary problems in consultation with the Associate Director and/or Director of Housing and Residence Life or Director of Student Conduct.

  • Assist in the administration of the departmental assessment plan including; administering the Quality of Life Survey and student focus groups.

  • Develop and maintain awareness of community issues for students in the facility through communication with area Residence Life staff and initiate efforts to respond to such issues.

  • Work with Resident Advisors to provide programs which are supportive to the residential community. Manage the area office budgets and operations, including supervision of office staff.

  • Develop and monitor office policies and procedures and ensure completion of all administrative and operational functions such as key distribution and collection, damage assessment, reporting and billing; and maintenance requests.

  • Serve as facility manager including conducting room checks, reporting and following up on housekeeping, maintenance and facilities requests.

  • Coordinate facility turnover and damage billing process over summer and winter break periods. Serve as facility manager for community center to include conducting building checks, following up on maintenance issues, and facilitate equipment and room usage.

  • Supervise, train, and evaluate full time Administrative Support (where applicable) and maintain Resident Advisor programming, staff development, and office supplies, monitor budgets and expenditures. Provide leadership for Resident Advisors staff in setting goals for the year.

  • Work with the Central Housing Staff to manage and coordinate room assignments and changes in the facility and communicate/resolve problems in accordance with established procedures.

  • Respond to all inquiries, problems, and complaints from students, staff, and parents related to the facility. Proactively and reactively respond to unnecessary/unreasonable damages and vandalism.

  • Assist the Central Housing Staff in planning for summer renovations, making recommendations for the purchase of furnishings and equipment, recommending improvements to housekeeping services, and preventative maintenance and safety measures.

  • Foster and maintain effective working relationships with various campus departments; including, but not limited to: Facilities, Campus Police, Counseling and Psychological Services (CAPS), Student Health Services, other departments within Student Affairs and throughout the campus community.

  • Work efficiently and cooperatively with applicable personnel/staff to respond to all emergency and crisis situations.

  • Assume on-call responsibility for all area residence halls and apartments on a scheduled basis. Participate in the overall planning and management of Housing and Residence Life and provide input in the development of policies and procedures.

  • Participate on task forces, and group goal planning and objective setting.

  • The Community Director will also serve as the advisor for the Hall Council for their residential community and serve as the coordinator for 1 of 6 core function areas for the Residence Life Program (Resident Advisor Recruitment & Selection, Residence Hall Association Advisor, Staff Training and Development, Survey & Assessment, Staff Recognition Programs and Marketing & Social Media.

    WORK ENVIRONMENT
    The incumbent will be required to live in the residence hall or apartment 12 months per year. The incumbent will have on-call responsibilities and will be required to respond to emergency and other situations during and after normal business hours. Due to the nature of student housing the work schedule of a live-in position cannot always be specifically defined or contained in a sequential 8 hour day or Monday - Friday scheduling. The incumbent will also be required to work some evenings and weekends during a typical work week and for openings/closings, staff selection and training as well as the facility turnover during winter and summer break periods.

    This position is designated as Mandatory Personnel. Mandatory Employees: Employees whose presence has been determined to be mandatory to University operations during certain types of adverse weather or emergency events.


    Management Preference:
    Bachelors degree and previous graduate or professional Student Affairs experience; strong interpersonal, written and verbal communication skills, demonstrated leadership and supervisory abilities are required. Previous graduate or professional work experience in Residence Life preferred.
