(PT) Administrative Assistant, College of Health Professions - New Castle

Requirements: The successful candidate must have an Associate's Degree or equivalent, a Bachelor's degree is preferred. The candidate must have a minimum of one-year experience and successfully perform the essential functions of the job. Must have excellent communication, customer-service skills, and organizational skills. Must be detail-oriented and able to work with diverse populations. Must be self-directed and able to make decisions independently, as well as work successfully as part of a team. Must be computer literate and proficient in Microsoft Office products (Word, Excel and PowerPoint). Knowledge of student information system/management portal required. Knowledge and experience with Learning Management Systems (e.g., Blackboard, Canvas) required. The ability to maintain professionalism and confidentiality in any situation is necessary.

Responsibilities include (but are not limited to):
  • Greet visitors and students; handle incoming telephone calls and in-person drop-ins; triage questions and inquiries to direct them to the proper person/department; perform clerical duties, as necessary.
  • Contact students/faculty in reference to follow-up on issues pertaining to (but not limited to) registration, students payments, financial aid, academic program advising and admissions, and syllabi and grade questions.
  • Act as interface between college and adjunct faculty.
  • Maintain clerical records, files, and databases associated with the college's academic mission.
  • Event scheduling and preparations, including room reservations, food and refreshment logistics, RSVPs, and coordinating AV equipment; coordinate colloquia, advisory committee, special events; provide the necessary announcements, information, and invitations for all program events and activities to college and university faculty.
  • Coordinate all aspects of conference attendance paperwork, hotel accommodations, and conference reservations.
  • Distribute, collect, and process Outcomes Assessment materials according to established college procedure.
  • Update student data in administrative computer system, as needed.
  • Backup support to the Social and Behavioral Sciences College in the absence of sufficient staff support.
  • Perform other duties, which may be assigned by the Dean.

    Hours of Employment: Generally, working hours will be between 12:30 pm to 4:30 pm and/or 1:30 pm to 5:30 pm. However, the incumbent must be flexible enough with their schedule and/or their hours to meet the needs of the department and/or the university. Hours may be adjusted for the first week of a block/semester and/or for special events.
