Hours: 40 hours per week, standard Monday- Friday 8:00am- 5:00pm

FLSA status: Exempt

Salary: $100,000 annually

A valid driver's license issued by the State where the applicant resides and insurability as defined in UTS 157 may be required to perform the position's essential functions.



Purpose of Position

Responsible for overseeing the financial health and operations of the Division of Student Affairs. This includes managing budgets, financial planning, and ensuring compliance with financial regulations, while also working to support department's mission and strategic goals. Directs, coordinates, implements, and exercises functional authority for planning, organization, control, integration, and completion of projects within area of assigned responsibility.

Essential Functions

Serve as a member of the Vice President of Student Affairs leadership team and plays a key role in divisional planning, resource allocation, professional development, continuous quality improvement and the attainment of divisional goals and objectives.

Advises the Vice President for Student Affairs and divisional leadership on all phases of budget development, preparation, monitoring and management. Supports strategic planning through expenditure analysis and future budget projections.

Oversees the institution's tuition and fee processes, including coordinating committees, managing communications, and handling all related documentation.

Promotes organization policies and procedures in compliance with local, state, and federal rules and regulations including maintaining and successfully operating "Tell Pete," the institution's electronic university customer service platform.

Oversees the communication of policy, program, and operational changes through directives to departmental supervisors.

Coordinates interdepartmental activities to promote operational efficiency and cost-effectiveness including short and long-range plans, and capital outlay (budget) requirements and documentation for assigned area(s).

Establishes and implements fiscal procedures to support internal controls across budgeting, asset management, expense authorization, and account reconciliation.

Collaborates in the development and implementation of strategic initiatives to enhance the efficiency of business transaction processes across the Division of Student Affairs, including exploring the potential implementation of a centralized Business Center. With a focus on standardizing and streamlining business transaction processes including Travel Authorizations and Reimbursements, non-travel expense reimbursements, Purchase Orders, non-PO vouchers, vendor setup, ProCard processing, Authorization for Professional Services (APS) agreements, and student appointments, the Director of Business and Operations will work to achieve a higher level of productivity and financial stewardship.

Oversees the administration of contract processes from initiation to completion, maintaining accurate records, monitoring timelines, and ensuring adherence to terms and conditions.

Develops, implements, and provides training policies, standards, guidelines, and security monitoring processes in relation to general control, privacy regulations, and development and operation of the University's infrastructure.

Reviews and approves documentation relating to projects or events and needs specific to assigned area(s) including management of the Green Fund Committee.

Understands department's role in accomplishing the University's mission.

Compiles and submits reports as required by management, state, local, and federal regulatory agencies.

Acts as liaison between departments and internal or external customers.

Participates in various committees, professional training, industry conferences, and conventions.

Knowledge of all Microsoft Office software and able to learn and use institutional software systems.

Provide signature authority for the Vice President for Student Affairs in her stead.

Complies with all State and University policies.

Other duties may be assigned.

Supervisory Responsibilities Carries out supervisory responsibilities in accordance with the organization's objectives, policies and applicable laws.

Qualifications

Required Qualifications:

Education: Bachelor's Degree.

and

Experience: Five years of related experience and/or training in the essential duties and responsibilities; or equivalent combination of education and experience. Occasional traveling required

Preferred Education: Master's Degree in a Business Area

Preferred Experience: Three to five years of work in a business area within a higher education setting. Knowledge of

PeopleSoft system. Previous leadership or managerial experience.
