Housing Outreach Coordinator

Job Summary

The Housing Outreach Coordinator leads the frontline operations for Housing & Residential Education (HRE). This role manages our two most important communication channels-our departmental phone lines and the main email inbox. This role also supervises a team of 15 student leaders (Housing Ambassadors), including 3-4 Lead Housing Ambassadors. The successful candidate will be responsible for guiding student staff, understanding a nuanced operations process, fielding complex student inquiries, and delivering accurate and compassionate communication-even when the message may be difficult to hear.

This is a highly dynamic, student-centered role that requires operational sharpness, emotional composure, and a willingness to learn a deep knowledge base of housing processes, timelines, and policy. From troubleshooting complex student situations to supporting high-pressure housing cycles, this role plays a critical part in delivering clear, timely, and compassionate support to students and families.

What This Role Demands:
Information Absorption: Housing operations are nuanced and cyclical. You'll need to absorb a large volume of process-knowledge and apply it accurately to real-world student scenarios.
Emotional Resilience: Some conversations will be tough. You'll need to stay calm, grounded, and professional when delivering difficult news to students or handling emotionally charged situations.
Student Leadership: You'll guide and support student employees through both high-volume periods and slower, more developmental months. Coaching and clarity matter.
Customer Service Maturity: You are the tone-setter for how students and families experience our office. You must lead with professionalism and warmth-even when others may not.

Responsibilities
Communications Oversight
  • Manage and monitor HRE's main public-facing communication channels, including department phone lines and the main email inbox.
  • Ensure timely, accurate, and student-centered responses to inquiries.
  • Serve as a go-to contact for questions escalated from student staff or other front-line service points.


Student Staff Supervision
  • Recruit, train, schedule, and supervise a team of approximately 15 Housing Ambassadors, including 3-4 Lead Ambassadors.
  • Develop onboarding tools and knowledge-sharing resources to support Ambassador success.
  • Facilitate regular one-on-one and team meetings with student staff.
  • Provide coaching and accountability to ensure a high standard of customer service.
Process Knowledge & Student Support
  • Learn and maintain a deep understanding of housing policies, seasonal procedures, and exception processes.
  • Help students navigate room selection and a multitude of other processes such as cancellations, meal plan changes, and special requests with clarity and empathy.
  • Contact students with key housing updates or decisions, delivering messages clearly-even when the news may be difficult.
  • Partner with internal teams (e.g. Accounting, Residential Education, LLCs) to ensure accurate support and referrals.

Minimum Qualifications
Bachelor's degree in a related field or equivalency (one year of education can be substituted for two years of related work experience). Two years experience in collecting, organizing analyzing, and presenting data; and demonstrated human relations and effective communication skills required.

QUALIFICATIONS PREFERRED BY DEPARTMENT:
  • Demonstrated ability to de-escalate conflict, deliver tough messages with tact, and maintain professionalism under pressure.
  • Experience working in a university or student housing setting.
  • Familiarity with cross-departmental collaboration in a university setting.
  • Knowledge of university housing operations and occupancy management best practices.
  • Experience using housing software (e.g., StarRez)
  • Strong time management and organizational skills.
