JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Program Support 1 supports the third- and fourth-year medical students, physician assistant students, clerkship directors, and the Associate Clerkship Director for the Department of Obstetrics and Gynecology Knoxville. The position is responsible for the daily support of 6-8 M3 students, 4 M4 students and physician assistants per rotation block.
Responsibilities
- Serves as the departmental contact and support for medical students completing third- and fourth-year clerkships.
- Schedules orientation, lectures, midterm evaluations, presentations, and Clerkship Director meetings.
- Reviews case and time logs for UTHSC students in eMedley.
- Matches and enters third- and fourth-year student evaluations with residents and faculty in eMedley.
- Gathers third- and fourth-year student evaluations and submits supporting materials for grades to UTHSC or corresponding medical school for visiting students.
- Maintains all files and records for students that rotate through department.
- Coordinates with the UT Center for Advanced Medical Simulation to schedule classes for students.
- Assists Department Manager with departmental special functions and events.
- Produces orientation materials and maintain website for the program.
- Performs other duties as assigned.
Qualifications
EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)
EXPERIENCE: Four (4) years of office experience in higher education; OR a Bachelor's Degree in lieu of experience.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Ability to work independently as well as with a diverse group of professionals and staff.
- Ability to prioritize tasks.
- Must be organized and flexible to changing demands and tasks.
- Knowledge of computer software i.e. Word, Excel, Outlook, and PowerPoint.
- Computer proficiency in the use of Microsoft Word, Excel, Outlook, and PowerPoint.
- Exceptional communication, interpersonal and computer skills
- Ability to learn department, campus and clerkship specific software.
WORK SCHEDULE: May occasionally work evenings. May occasionally require overnight travel.
