Job Summary:
Provides a wide range of administrative support throughout the School of Nursing & Health Professions (SONHP). This person's successful information management, and knowledge of departmental and divisional academic functions, and business-process related questions and issues, helps the SONHP to run smoothly, and serves students, faculty, staff, and external contacts more effectively.

This position reports to the Director of Budget Planning & Operations. This position plays a crucial role in providing a welcoming and organized environment for students, faculty, staff, and visitors. The incumbent will also represent the Office of the Deans as they will manage their calendars and meetings. Responsibilities and duties are carried out under general supervision; exercises interpretive skills to analyze situations, identify concerns, and develop and propose solutions associated with supporting the academic or administrative functions of program and department as related to staff, student and faculty support. Position requires strong attention to detail, ability to organize and prioritize multiple demands, and represent SONHP in a professional manner at all times.

This is an in-person, Monday - Friday, 8:30AM - 5PM position in our San Francisco Main campus.

Full Job Description:

JOB RESPONSIBILITY

ADMINISTRATION OPERATIONS 60%
  • Responsible for the general upkeep of the administrative office
  • Opens and closes the front desk and administrative suite in a timely manner.
  • Greet and assist visitors, students, and faculty members who visit campus and SONHP.
  • Manage and maintain the main school and Office of the Dean's calendar, scheduling appointments and meetings.
  • Address inquiries and requests from students, parents, and faculty, resolving issues or directing them to the appropriate personnel.
  • Order and organize office supplies for the main administrative office.
  • Provide general administrative support, including but not limited to photocopying and organizing documents.
  • Coordinate student worker hiring.
  • Support the Academic Support Assistant in facilitating faculty office appointments and moves.
  • In charge of facility requests (day to day requests)
  • Support onboarding and offboarding of faculty (order business cards, computer support, keys, etc)
  • Provide support for administrative events (e.g. All School Meetings, Town Hall, New Adjunct Faculty Orientation Initiative)
  • Manage hyflex kit inventory and track SONHP assets, in collaboration with ITS.
  • Events rooming via EMS and oversee reservations of Cowell Spaces: Cowell 113 and 215.
  • Provide clinical onboarding support during peak time.
  • Perform other duties as assigned.


COMMUNICATIONS SUPPORT 35%
  • First point of contact for all general inquiries for the SONHP.
  • Answer phone calls, take messages, and route calls to the appropriate staff members.
  • Assist in internal communication efforts, such as drafting memos, announcements, and newsletters for faculty, staff, and students.
  • Oversee incoming and outgoing mail and general SONHP email correspondence and inbox.
  • Collaborate with colleagues to promote school events, workshops, and conferences through digital and print channels.
  • Maintain SONHP's contact lists to ensure it is updated and accessible.
  • Manage staff and faculty listserv.
  • Perform other duties as assigned.


MINIMUM QUALIFICATIONS
  • Post high school education is preferred.
  • Training or experience equivalent to four years of increasingly responsible work experience or related education.
  • Ability to analyze needs and implement appropriate office procedures.
  • Familiarity with applicable USF policies and procedures or ability to learn and interpret them.
  • Experience working with computer database systems, word processing and spreadsheet software including Microsoft Office Suite and Google sheets; alternately, willingness to learn and effectively use computer software.
  • Must be customer service and team oriented.
  • Experience with and demonstrated ability to work with a diverse student body, faculty and staff.

Salary Range :
$32.28 hourly, eligible for a 5% increase post probationary period
