Assistant Director - Student Activities Business Office

About the Opportunity

The Assistant Director - Student Activities Business Office supports the Senior Associate Director in delivering comprehensive financial, accounting, and budgeting services to over 1,000 accounts for student organizations and units within the Student Center. The role involves providing customer service through the Student Activities Business Office (SABO) and managing financial operations for 500+ student groups, including the Resident Student Association (RSA), National Resident Hall Honorary (NRHH), Resident Halls, Hall Council, Student Government Association (SGA) Finance Board, and Graduate Student Government. Key financial responsibilities include conducting monthly procard analysis and reconciliation for Resident Directors, performing monthly reconciliation of RSA and Resident Hall indexes, and auditing RSA operations as necessary.

The Assistant Director also encompasses significant leadership and educational responsibilities, including serving as Chair of the Resident Activity Fee (RAF) Review Committee and annually updating the RAF Manual. The role requires conducting extensive training and workshops for various stakeholders, including Center for Student Involvement Program managers, student groups, RSA, and Resident Halls on SABO and RAF policies and procedures. Additional duties include serving as eRezlife Administrator, acting as Co-Budget Advisor to the SGA Finance Board and Graduate Student Government, attending SGA Finance Board meetings to report outcomes, and delivering financial and programming seminars for the Office of Residential Life and Services to clarify RAF processes.

MINIMUM QUALIFICATIONS
  • Knowledge and skills required for this position are normally acquired through a Bachelor's degree in business administration with a concentration in accounting and/or finance plus at least two to three years of financial/accounting experience
  • Working knowledge of general ledger and automated accounting applications using Banner, spreadsheets (i.e. EXCEL, Quick Books, and e-RezLife) and data processing (i.e. Word)
  • Ability to prioritize, meet deadlines and produce professional reports
  • Self-motivated and enjoy a diversity of tasks and collaborative efforts
  • Excellent interpersonal, advisory and analytical skills
  • Attention to detail


KEY RESPONSIBILITIES & ACCOUNTABILITIES

1) Administration & Finance
  • Administer and provide financial oversight to Resident Student Association (RSA), Resident Halls, and LLC
  • Direct and oversee the financial, accounting, and budgeting services of RSA and Resident Assistant programming as outlined in the RAF Manual


2) Audits
  • Reconcile monthly RSA and Resident Hall Quick Books/ E-rez Life Activity to Banner
  • Verify monthly expenses comply with internal auditing regulations and requirements
  • Record the distribution of RAF Fees to RSA and Resident Halls
  • Evaluate semester budgets for RSA, NRHH, and Resident Halls
  • Distribute monthly financial statements to RD's


3) Chair the RAF Review Committee
  • Update the RAF Manual.
  • Conduct workshops for RSA, RD's, and RA's on the RAF Manual policies and procedures.
  • Work closely with CSI's RSA Program Manager to ensure compliance RAF Manual and SABO Policies.
  • Meet weekly with RSA programming and financial e-board members. Administrator of eRezlife software package for Res-Life programming and spending reports.
  • Assist RSA, and Resident Halls, in areas as assigned.


4) Serve as Co-Budget Advisor to Student Government Boards
  • Attend monthly budget meetings, taking notes of the meetings results, and
  • reporting the results to management.
  • Perform monthly Reconciliation of SAF and GSG funding allocations to ensure timely and accurate distribution of funds to student group budgets.


5) Coordinate customer service and account transactions.
  • Provide day to day financial, accounting, budgeting, and student services to over 1000 accounts for 500+ student organizations and units within the Student Center
  • Review and authorize customer transactions for compliance with RSA, SABO, and University regulations
  • Ensure all expenditures are within budget, posted timely and properly
  • Promote sound business practices in all procedures via daily interactions
  • Advise/instruct customers on financial matters and policies
  • Ensure policies and procedures are consistently applied
  • Resolve customer concerns promptly and appropriately and ensure financial information is readily available
  • Assist with hiring student/temp support staff and delegating day to day responsibilities.
  • Support Accounts Payable process and assist with special projects as assigned.
  • Manage new fund requests to support the Student Organization Recognition process.
  • Facilitate the creation of student organization ecommerce accounts by working closely with various University campus partners including Center for Student Involvement, Advancement, Treasury, Accounting, and IT Services.

Expected Hiring Range:
$59,425.00 - $83,935.00

With the pay range(s) shown above, the starting salary will depend on several factors, which may include your education, experience, location, knowledge and expertise, and skills as well as a pay comparison to similarly-situated employees already in the role.
