JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Associate 2 provides administrative assistance to the Chairman, Manager, and faculty of the Department of OB/GYN with a high level of responsibility including coordinating and organizing many activities for the Chairman and department. This position represents the Department of OB/GYN and the institution as one of the first contacts for visitors, faculty, and other departments both internally and externally.
Responsibilities
- Coordinates electronic scheduling of conference rooms; readies conference rooms for meetings by establishing Zoom and conference calls; ensures all equipment is functional and distributes all documents necessary for meetings.
- Oversees the reimbursement process for full-time faculty members and guest travelers.
- Maintains and updates CV for the Chairman and faculty of the Department of OB/GYN.
- Utilizes various software packages (Word, Excel, PowerPoint) to generate correspondence, manuscripts, and presentations at the request of the Chairman.
- Manages and updates the Master Address database in Microsoft Access for the purpose of creating mailing labels for special functions.
- Attends meetings, compiles minutes, creates priority steps, and provides feedback and reminders, as needed, to attendees.
- Manages monthly time sheet entry for faculty and staff.
- Assists the Manager with full-time faculty recruitment.
- Performs other duties as assigned.
Qualifications
EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)
EXPERIENCE: Two (2) years of administrative experience; OR Associate's Degree in lieu of experience.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Excellent written, interpersonal, critical thinking, and verbal communication skills to communicate appropriately with physicians, administrators, and other departments within and outside own institution.
- Skill utilizing Microsoft Word, Excel, PowerPoint, and Outlook.
- Ability to maintain discretion in identifying and processing sensitive and confidential information/assignments.
- Ability to work under pressure with time constraints while handling changing priorities/deadlines to complete assigned tasks.
- Flexibility to complete assigned tasks and assist faculty in a multitasking work environment.
WORK SCHEDULE: This position may occasionally be required to work weekends and evenings.
