Job Summary:

The University of Utah's Scientific Computing and Imaging (SCI) Institute is hiring an Office Administrator III

The person in this position will play a pivotal role in the operational excellence of the SCI Institute.

Responsibilities
Position Summary:

The Office Administrator III provides advanced administrative and operational support to ensure efficient business operations. This role is responsible for managing payroll-related actions, coordinating with HR partners, and supporting administrative functions across teams. The ideal candidate is detail-oriented, collaborative, and proactive in supporting both staff and leadership.

Key Responsibilities:

  • Payroll Support: Process payroll actions not related to new hires, ensuring accuracy, compliance, and timely completion.
  • HR Liaison: Serve as the primary contact for HR Embeds, providing necessary hiring information, responding to inquiries, and maintaining accurate records of all hiring, terminations, and related personnel actions.
  • Cross-Training & Collaboration: Partner with other Office Administrator III team members to cross-train on travel arrangements, internal onboarding procedures, and other shared administrative responsibilities.
  • Event Coordination: Support the Administration Team with logistics, planning, and execution of internal events and activities.



Other duties may include:
  • Coordinate all aspects of the daily office environment including, but not limited to, office maintenance, ordering office supplies, and other duties to ensure the office operates smoothly and efficiently.
  • Coordinate office equipment maintenance and initiate facility repair requests with building management and/or outside vendors.
  • Work closely with executives and management on coordination of local culture and engagement initiatives including planning and logistics.
  • Act as the face of the office and develop and maintain relationships with building management services, vendors, caterers, and various internal departments.
  • Coordinate and schedule internal/external meetings, and conference/video calls on behalf of leaders.
  • May be responsible for managing office budget and contract/price negotiations with vendors.
  • May perform other duties including accounting support, reception, facilities, maintenance, supply management, and various "back office" functions.
  • Considered highly skilled and proficient in discipline.
  • Conduct complex, important work under minimal supervision and with wide latitude for independent judgment.



Minimum Qualifications
Qualifications:

Requires a bachelor's (or equivalency) + 6 years or a master's (or equivalency) + 4 years of directly related work experience. Assumes work equivalency (1 year of higher education can be substituted for 1 year of directly related work experience). Applicants must demonstrate the potential ability to perform the essential functions of the job as outlined in the position description.

Preferences

Problem Solving:
This position provides coordination and decision making for all activities of a specified program. Problems arising from coordination amongst stakeholders will be addressed by the incumbent who will refer to the manager and established committees for guidance.
