Position Description
Performs work to assist in the organization and implementation of projects and programs. Responsibilities include activities which require knowledge of departmental procedures. Employee performance is based upon a review of completed work and overall results obtained.

Major/Essential Functions
  • Manage all aspects of the Art Division's programs, such as signature programs, artist lectures and curator tours, including managing a budget, facilitating payments, and purchasing supplies and catering, setting up supplies prior to programs, assisting during programs and helping the Teaching Artist.
  • Assist in scheduling and promoting programs, taking initiative to facilitate any promotion materials like posters and social posts.
  • Gather needed materials and supplies, including running errands to purchase supplies and catering.
  • Track expenses in a budget.
  • Prepare a Scope of Work for each project and request Purchase Orders.
  • Oversee set-up and clean-up for programs, including reserving rooms and seating, cleaning tables, washing dishes, maintaining art supplies, etc.
  • Assist teaching artist in preparing for programs and throughout event or program, including assisting individual participants during programs.
  • Greet participants and monitor any needs, such as making a wheelchair available.
  • Facilitate surveys during programs and compile data in a spreadsheet.
  • Document detailed attendance data in a spreadsheet by identifying various participant roles.
  • Store or save documentation, such as photographs and surveys, in designated folders.
  • Lead programs when needed.
  • Assist curator and collection manager as needed in collection-related tasks.


Required Qualifications
High school graduation or equivalent. No experience required.

Preferred Qualifications
  • Prior experience organizing programs. Ability to work weekdays between 8am-5pm, evenings, and weekends. Ability to run errands off campus and get to off campus event locations.
  • Background in studio art, art history, art education, arts administration, or hospitality management.
