POSITION SUMMARY:

The Staff Accountant and Analyst will perform various accounting and finance related tasks in support of the College. Responsibilities are performed independently and under the supervision of the Senior Director of Finance and Budget.

The Staff Accountant and Analyst must be able to adapt to working in a fast-paced environment and possess the skill, ability and demeanor to work in a highly collaborative team environment with other members of the Office of Financial Affairs (OFA). The individual must have problem solving skills and be able to apply creative solutions to potential problems.

As a representative of the OFA, the Staff Accountant and Analyst will maintain the highest level of confidentiality and diplomacy regarding all matters. The Staff Accountant and Analyst will be proactive and anticipatory in approach, possess excellent judgment in a variety of challenging situations, demonstrate effective written and verbal communication skills, have a high attention to detail, exemplify an energetic, poised, and positive demeanor, and demonstrate the ability to balance multiple priorities. The position requires the capacity to manage work well in a diverse, fast paced, and collaborative team environment. The Staff Accountant and Analyst interacts with a broad array of constituencies which includes faculty, staff, and representatives from the other Claremont Colleges and The Claremont Colleges Services.

DUTIES AND RESPONSIBILITIES:

Accounting & Transactional Support
  • Ensure compliance with College finance policies and applicable regulations through accurate processing and training.
  • Respond to inquiries regarding Workday Financials (Workday FIN) and College procedures.
  • Process invoices, cash receipts, expense reports, and journal entries in Workday.
  • Partner with OFA staff to support business process roles in Workday.
  • Assist with Clinic financial management, including attending Clinic meetings, updating and distributing the Clinic Receivable Report, depositing receipts, and maintaining reconciliation spreadsheets.


Process Improvement & Reporting
  • Develop and maintain Workday FIN reports; collaborate with colleagues to enhance reporting capabilities.
  • Create and deliver Workday FIN training materials and guides for end-users.
  • Identify opportunities for efficiency in financial processes through configuration and reporting improvements.
  • Stay current on Workday FIN functionality and best practices.


Analysis & Compliance
  • Perform internal control assessments and periodic account testing for compliance.
  • Prepare various reconciliations including but not limited to: student clearing account, purchase card transactions, housing deposits.
  • Support annual reporting, including fiscal year-end close, financial statements, 990 preparation, and responding to inquiries from external auditors.
  • Review reports for accuracy and adherence to internal/external regulations.
  • Assist with data collection, surveys, and analysis for College activities
  • Assist with various budget-related tasks such as department reporting, forecasting, Workday uploads, and variance analysis.


Miscellaneous
  • Maintain OFA website content using WordPress.
  • Serve as backup for various roles within OFA.
  • Perform other duties and special projects as assigned.


REQUIRED QUALIFICATIONS:

Education and Experience:
  • Education: Bachelor's degree in business administration, finance, accounting, or a related field.
  • Experience: Minimum of two years of experience in accounting/audit required.


Knowledge, Skills, and Abilities:
  • Detail-oriented, organized, flexible and able to prioritize and manage multiple projects and assignments with competing deadlines.
  • Demonstrated ability to retrieve data from databases and information systems and organize it for review and analysis.
  • Excellent analytical, reasoning, and problem-solving skills.
  • Ability to analyze data from various reports, draw conclusions, and make recommendations concerning the effectiveness of solutions.
  • Effective communication and presentation skills; ability to write clearly and concisely.
  • Ability to function in a team environment and to work independently.
  • Highly organized with the ability to handle confidential material with discretion.
  • Aptitude to learn new technology, methods, and procedures.
  • Ability to establish effective working relationships and interact effectively with people of different levels of education and experience.
  • Must have the ability to learn advanced functions of Workday and programming/report writing language.
  • Must possess or have ability to develop advanced skills in excel (e.g. macros, v-lookup, etc.)


Preferred Qualifications:
  • Experience working in public accounting, higher education or a non-profit environment is preferred.
  • Experience with Workday FIN or HCM or other ERP, especially in the area of reporting.
  • Experience with reporting on general ledger accounting data preferred.


Remote Work Eligibility:

Category C:

All staff positions, regardless of remote work eligibility, require an initial 30-calendar-day on-campus work period. Based on an evaluation by the Area Leadership Group (supervisor, area leader and area Cabinet member) and HR, this position is classified as Category C as defined in the College's Remote Work Policy, with occasional ad-hoc remote work flexibility (as needed). Upon approval by the Area Leadership Group and HR, this position may work up to 2 remote work days per week during the academic year and up to 3 remote work days per week during the non-academic year. Please note these days may vary depending on departmental and College needs. Additionally, remote work is subject to the College's remote work policy. The College reserves the right to revoke or modify a remote work arrangement for any staff, at any time and for any reason as articulated in the College's remote work policy.

Standard working hours for this position will generally be from 8:00 a.m. to 5:00 p.m., Monday through Friday, though these hours may vary depending on departmental and College needs.

All remote work arrangements, including ad-hoc remote work, must be approved by the direct supervisor, area Cabinet member and Human Resources, and are subject to periodic review based on institutional needs. These arrangements are neither guaranteed nor considered entitlements and may change due to factors such as employee performance, evolving business needs, or changes to the position.

Physical Requirements:

While performing the duties of this job, the staff member is regularly required to sit; stand, use hands and fingers and talk or hear. The employee is occasionally required to reach with hands and arms. The individual must regularly lift and/or carry up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust focus. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Hours:

Regular office hours are 8:00 a.m. to 5:00 p.m. However, days and hours may vary due to the needs of the department or the College.

Classification:

This is an exempt, full-time, benefits eligible position.

Salary:

The anticipated salary range will be $75,000.00 - $80,000.00 per year. Salary will be commensurate with qualifications and experience.

Reports To:

This position reports to the Senior Director of Finance and Budget.
