Job Summary
This position performs responsible administrative and secretarial duties of a complex and confidential nature in support of a Vice President, the Provost, or Dean to relieve supervisor of varied clerical and administrative responsibilities. Duties include, but are not limited to, serving as the institutional liaison in all aspects of office operations including coordination of departmental administrative assistants in college-level activities; coordination and management of the daily activities and schedules of the Dean and Associate Deans; preparation of written correspondence; creation of meeting agendas; development of handouts and presentations to include information research. Must possess the ability to prioritize and manage conflicting deadlines, multi-task, exercise sound independent judgment and maintain a high level of confidentiality. Must demonstrate initiative and flexibility. Must be able to communicate in a professional manner with others in the university and community.
Responsibilities
The responsibilities include, but are not limited to:
Decision Making and Problem Solving
Act as resource for decision-making and problem-solving resolution for all departments and programs reporting to the Dean of the College of Science and Mathematics.
Office Operations professionalism
As needed to maintain professionalism, consistency and efficiency in office operations, provide guidance to college and department classified staff.
Coordination with Business Operations Specialist
In coordination with Business Operations Specialist, handle financial matters including but not limited to PeopleSoft and p-card expenditures, processing of travel requests and reports, and Foundation account expenditures.
Responsible for a variety of personnel actions
Responsibility for a variety of personnel actions requiring comprehensive knowledge of PeopleSoft HRMS, university hiring guidelines and procedures, faculty contracts, records management, etc.
Project management and initiatives
Management of special projects and initiatives, as assigned by the Dean, acting in coordination with the Associate Deans and Department Chairs.
Design, develop, and manage special events
Design, develop, and manage special events as assigned by the Dean or requested by Associate Deans.
Represent the College on standing and ad hoc committees
As assigned by the Dean, represent the College on standing and ad hoc committees and workgroups.

Required Qualifications
Bachelor's degree from an accredited college or university and two years of progressively responsible administrative support experience
OR
Associate's degree from an accredited college or university and five years of directly applicable experience
OR
High school diploma/GED from a recognized State or Federal accrediting organization and eight years of directly applicable experience
Previous reporting relationship to senior leadership position is desirable.
Familiarity with institutional structures in Augusta University academic and business units, the University System of Georgia, and the Board of Regents.
Working knowledge of BANNER, Crystal reports, Carousel (digital signage), social media outlets, and the ability to maintain and update the College website are also desirable.
Preferred Qualifications
Previous reporting relationship to senior leadership position is desirable.
Familiarity with institutional structures in Augusta University academic and business units, the University System of Georgia, and the Board of Regents.
Working knowledge of BANNER, Crystal reports, Carousel (digital signage), social media outlets, and the ability to maintain and update the College website are also desirable.

Professionalism and sound business practices are imperative; serious negative financial and operational impact within the College and across the University may occur if operations are managed poorly or if tasks are left incomplete.
KNOWLEDGE
Proficiency in Microsoft Office - Word, Excel, Outlook, PowerPoint, Adobe, and other computer software/databases PeopleSoft Financials and PeopleSoft HRMS.
SKILLS
Must have superior organizational, interpersonal and customer service skills, and excellent oral and written communication skills.

Shift/Salary/Benefits
Shift: Days/M-F
Pay Band: B6
Salary Range: $18.85/hourly - $19.23/hourly
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position.

Conditions of Employment
All selected candidates are required to successfully pass a Background Check review prior to starting with Augusta University.
If applicable for the specific position based on the duties: the candidate will also need to have a credit check completed for Positions of Trust and or approved departmental Purchase Card usage.
Motor vehicle reports are required for positions that are required to drive an Augusta University vehicle.
