Job Summary

The IT Business Analyst serves as the requirements and process analysis specialist within the university's IT Project Management Office (PMO). This position bridges the gap between institutional business operations and technology solutions, translating complex stakeholder needs into clear, actionable documentation that drives successful system implementations. The primary focus is the university's Workday HCM and Finance migration, where the Business Analyst will lead requirements gathering, business process mapping, gap analysis, and user acceptance testing coordination across multiple functional areas including Human Resources, Finance, and Academic Affairs.

Responsibilities

Significant Duties & Responsibilities include: Requirements Elicitation and Documentation (40%) - Facilitate requirements gathering workshops, stakeholder interviews, and discovery sessions with cross-functional teams across HR, Finance, Academic Affairs, and other university departments. Produce clear, actionable Business Requirements Documents (BRDs), functional requirements specifications, and user stories that serve as the authoritative reference for solution design and configuration. Develop and maintain a requirements traceability matrix linking business needs to system configurations, test cases, and deliverables. Elicit both functional and non-functional requirements, including performance expectations, security constraints, data privacy needs, and integration specifications. Translate complex institutional processes and regulatory requirements (FERPA, state reporting mandates) into language that technical teams can implement and business stakeholders can validate. Manage requirements change control, assessing the impact of proposed changes on scope, timeline, and dependent workstreams.; Business Process Analysis and Mapping (30%) - Document current-state (as-is) business processes through observation, interviews, and workshops with departmental stakeholders. Design future-state (to-be) process maps that reflect platform capabilities, institutional policy decisions, and operational improvements. Conduct gap analysis between current business processes and target system functionality, identifying where standard configuration, customization, or process redesign is required. Create process flow diagrams, swimlane charts, data flow models, and decision matrices using industry-standard notation (BPMN, UML). Support the UiPath RPA initiative by analyzing administrative workflows, identifying automation candidates, and documenting process requirements for bot development. Identify process improvement opportunities that reduce manual effort, eliminate redundancy, and improve data quality.; Solution Validation and Testing (20%) - Develop user acceptance testing (UAT) plans, test scripts, and test data sets based on documented requirements and process maps. Coordinate and facilitate UAT cycles with end users, tracking results, documenting defects, and validating that configurations meet documented requirements. Support data migration validation by defining data quality rules, reviewing conversion results, and confirming that migrated records meet business expectations. Participate in system integration testing to verify data flows correctly between Workday and connected platforms (student information system, identity management, reporting tools). Review vendor deliverables against documented requirements, flagging discrepancies and working with the IT Project Manager to resolve gaps.; PMO Methodology Support (10%) - Contribute to the development of PMO templates, standards, and reusable artifacts for requirements management. Maintain project documentation in the PMO's designated platforms, ensuring requirements artifacts are current, version-controlled, and accessible. Participate in sprint planning, sprint reviews, and project status meetings, providing updates on requirements and analysis deliverables.

Required Qualifications

Required Qualifications include: Bachelor's degree in Information Technology, Information Systems, Business Administration, or a related field.; Three (3) or more years of experience as a Business Analyst, Systems Analyst, or equivalent role supporting enterprise technology implementations.; Demonstrated experience with requirements elicitation techniques including stakeholder interviews, workshops, document analysis, and observation.; Experience creating formal requirements documentation: Business Requirements Documents, functional specifications, user stories, and acceptance criteria.; Experience supporting user acceptance testing, including test plan development, test execution coordination, and defect tracking.

Preferred Qualifications

Preferred Qualifications include: Experience supporting an ERP implementation (Workday, PeopleSoft, Banner, SAP, or Ellucian), particularly in HCM, Finance, or Payroll functional areas.; Professional certification in business analysis: CCBA or CBAP from IIBA, or PMI-PBA from the Project Management Institute.; Experience in higher education, government, or public-sector environments.; Familiarity with robotic process automation (RPA) platforms such as UiPath.; Knowledge of Lean Six Sigma or other structured process improvement methodologies.; Familiarity with Agile and Scrum practices, including writing user stories and participating in sprint ceremonies.; Understanding of data privacy requirements in educational settings, including FERPA and state compliance mandates.

Proposed Salary

The proposed annualized salary range for this position is $66,468 - $73,277 and includes full benefits.

Knowledge, Skills, & Abilities include: Strong analytical thinking with the ability to decompose complex business operations into discrete, documentable process steps and requirements.; Exceptional listening skills and the patience to draw out unstated assumptions, implicit business rules, and edge cases that stakeholders may not initially articulate.; Ability to work across organizational boundaries, building productive relationships with HR, Finance, Academic Affairs, IT, and executive stakeholders.; Comfort operating in a newly established PMO environment where processes and standards are still being developed.; Attention to detail and commitment to documentation quality, understanding that incomplete or ambiguous requirements are a primary driver of project risk.; Ability to manage competing priorities across multiple projects, clearly communicating capacity constraints and recommending trade-offs when necessary.; Proficiency in business process modeling using standard notation (BPMN, UML activity diagrams) and tools such as Visio or Lucidchart.; Strong written communication skills with the ability to produce clear, structured documentation for both technical and non-technical audiences.
