Summary
Serves as the Assistant to the Vice Provost for Faculty Affairs. Provides high-level administrative support in planning and administrative operations related to faculty affairs including governance, professional development of chairs and directors, and implementation of the collective bargaining agreement. Manages pertinent and essential contracts, documentation, and communication related to faculty reappointment, promotion, and tenure. Responsible for initiating and coordinating awards, events, and programs that support and recognize faculty accomplishments including communications, recognitions, and receptions.
Essential Functions
- Facilitates all processes related to faculty improvement leave, reappointment, merit tenure, promotion, annual and enhanced performance reviews by collaborating with the Vice Provost for Faculty Affairs, deans and their assistants; effectively utilizes the electronic records portal to track, organize and upload documents.
- Maintains the evergreen and operational calendars related to routine and ad hoc activities associated with the Collective Bargaining Agreement; initiates, tracks, and reports progress on faculty initiatives and policies; schedules meetings and locations/handles related correspondence; prepares written and electronic reports as necessary to facilitate memorandums of understanding and joint communications. Before, during, and after periods of bargaining, provides assistance with updating documents, gathering materials, researching and benchmarking topics of concern; develops and maintains physical and electronic records for the Vice Provost for Faculty Affairs; executes correspondence and paperwork for collective bargaining and contract implementation.
- Prepares formal documents and communications on behalf of the Provost to the President, Faculty Senate, Faculty Association, and Board of Trustees.
- Program oversight and coordination. Organizes the operational details of the Chairs and Directors annual retreat and monthly meetings; coordinates operational details related to Chairs/Directors Event(s); Represents Faculty Affairs/Provost's Office in the planning and execution of the University's Years of Service Recognition Program; Responsible for the coordination of faculty award processes (maintains timelines, coordinates recruitment, prepares application processes for review and related notifications for Distinguished Professor Awards, Faculty Emeritus Award Process, and other prestigious awards and recognitions; provides oversight and coordination for Faculty Excellence Awards event and/or recognition program. Prepares official communications from Provost to President and Board of Trustees.
- On behalf of the Vice Provost for Faculty Affairs, facilitates the creation, review and/or updates of faculty Reappointment, Tenure and Promotion (RTP) and Merit processes. Oversees and collaborates with others for the development and implementation of faculty review schedules and processes within the electronic review system. Maintains and posts updated RTP and Merit documents to the Faculty Affairs website; assists with the development of the RTP review schedule; coordinates college representatives in the submission and maintenance of materials and communications; monitors workflow of RTP/Merit materials; prepares and maintains official RTP/Merit documents and communications.
- Schedules meeting, sets appointments, and records meeting notes on behalf of the Vice Provost for Faculty Affairs. Handles travel arrangements/expense reports; makes appointments and orders supplies for the Vice Provost for Faculty Affairs; Maintains and monitors budget and expenditures related to faculty affairs. Regularly updates/compiles and communicates lists of chairs, directors, deans and other college and University leaders; responsible for maintaining accurate documentation and updates these each semester. Provides additional administrative support for the goals, objectives and initiatives of the Office of the Provost as needed.
Minimum Qualifications
The following Degree is required:
- Bachelor's degree required
- 3 years of experience in a higher education setting
- 1 year of event or project planning
- 2 years interpreting policies, following detailed procedures, database management and/or managing personnel records

- Knowledge of computer skills, such MS Office Suite, presentations, spreadsheets and/or database entry/query
- Ability to query, run reports, and modify data in administrative systems
- Detail-oriented and highly accurate in basic mathematic calculations
- Ability to access and maintain document imaging systems, including scanning and filing documents
- Ability to use sound judgment, tact and discretion when working with confidential files
