The Dental College of Georgia at Augusta University, we provide dental education to the next generation of professionals by offering hands-on education through innovative research, patient care, and service. Join other dental providers to improve the oral health of Georgia and beyond. The DCG was founded to provide the people of Georgia with quality dental care by educating students in dentistry. As a patient, you have the option to receive treatment in one of our three different practice models consisting of student clinics, resident care, or in the faculty practice. All dental treatments can be completed by the specialists in our facility. We also serve patients in more than 20 clinics across Georgia.

Job Summary

Provide support to the Director, Coordinator of Recruitment, and Associate Dean for Student Admissions by interacting with faculty, staff, associates, alumni, and students on various issues related to student admission to the Dental College of Georgia. Provides comprehensive administrative and student services support by managing office calendars, coordinating events tours, account reconciliation, travel request/reimbursements, preparing webinars logistics, preparing reports, serving as a liaison for students, and ensuring AU policy compliance. Additionally, supports digital engagement by coordinating website updates, managing social media interactions, and serving as a marketing liaison by collaborating with the communication coordinator to align messaging, outreach efforts, and promotional initiatives. Provide support through management of student admission applications, verification of applicant data, compilation, summarization, and generation of reports/correspondence from a variety of sources for internal and external use. Also, photo management, assist in making recruitment presentations, and light travel. Coordinate and conduct DCG tours related to student admissions. Requires exercise of judgement in information dissemination.

Responsibilities

The duties include, but are not limited to:

EXECUTIVE & ADMINISTRATIVE SUPPORT FOR ADMISSIONS LEADERSHIP: Provide comprehensive administrative support to the Director, Coordinator of Recruitment, and Associate Dean for Student Admissions. Serve as a primary point of contact by professionally interacting with faculty, staff, associates, alumni, and prospective and current students regarding admissions-related inquiries, schedules, and processes. Exercise discretion and sound judgment when handling sensitive or confidential information related to applicants and institutional operations.

COLLEGE VISITS, HEALTH FAIRS, AND OUTREACH ACTIVITIES: Coordinate and support recruitment outreach efforts including college visits, health fairs, and community engagement events. Assist with planning logistics, preparing materials, staffing events, and engaging with prospective students to provide admissions information and promote the Dental College of Georgia. Participate in light travel to support these outreach activities as needed.

POLICY COMPLIANCE, INFORMATION STEWARDSHIP, & STUDENT LIAISON: Ensure all admissions activities, communications, and records comply with Augusta University policies and applicable regulations. Serve as a liaison for prospective and current students by providing accurate admissions information, resolving issues when appropriate, and exercising independent judgment in the dissemination of admissions related information.

DIGITAL ENGAGEMENT, MARKETING, AND COMMUNICATION SUPPORT: Coordinate updates to admissions related website content and support social media engagement by responding to inquiries and sharing approved information. Serve as a marketing liaison by collaborating with the communication coordinator to align messaging, outreach efforts, and promotional initiatives. Assist with recruitment presentations and manage admissions related photos and visual assets.

MANAGEMENT OF STUDENT ADMISSION APPLICATIONS AND FILES: Manage the student admissions application process by verifying applicant data for accuracy and completeness, preparing applicant files for review, and ensuring all required documentation is received. Sort, file, track, and maintain applicant folders, update Banner records, and send supplemental applications to qualified applicants in accordance with established admissions criteria and timelines.

FINANCIAL, TRAVEL, AND OPERATIONAL SUPPORT: Process travel requests and reimbursements for admissions and recruitment activities in compliance with Augusta University policies. Assist with account reconciliation, track expenditures, and maintain organized financial and operational records to support transparency, compliance, and audit readiness. Participate in light travel to support recruitment efforts as needed.

CALENDAR, EVENT, AND TOUR COORDINATION: Manage office calendars for admissions leadership, scheduling meetings with applications and recruitment activities. Coordinate and conduct Dental College of Georgia (DCG) tours for prospective students and visitors, and support on campus recruitment events by managing logistics, materials, space reservations, and participant communications.

ADMISSIONS DATA COMPILATION, REPORTING, AND CORRESPONDENCE: Compile, summarize, and create detailed reports and correspondence using data from a variety of internal and external sources. Prepare admissions-related communications for applicants, faculty, and external stakeholders, ensuring accuracy, clarity, and compliance with institutional standards. Generate reports to support admissions committees, recruitment planning, and leadership decision making.

INTERVIEW DAY PLANNING, COORDINATION, & SUBCOMMITTEE SUPPORT: Assist admissions subcommittees by compiling applicant data, preparing review materials, and supporting deliberations to determine which applicants are selected for interviews. Ensure Interview Day activities run smoothly and reflect institutional standards and goals. As well as backup for interview day; plan, coordinate, and host student admissions Interview Days by managing schedules, logistics, communications, and on site or virtual support.

OTHER: Perform other duties as assigned.

Required Qualifications

High School Diploma, GED or equivalent from a recognized state or federal accredited organization required, with a minimum of nine years of progressively responsible office support experience.

OR

Associate's degree from an accredited college or university with a minimum of six years of progressively responsible office support experience.

Preferred Qualifications

Experience interacting with students; grant research experience; Box computer experience, Microsoft Office experience to include WORD, Excel, PowerPoint and TEAMS

Preferred Education Qualifications:

Bachelor's degree from an accredited college or university

Knowledge, Skills, & Abilities

KNOWLEDGE

Proficiency in Microsoft Office applications, including Excel, Word, PowerPoint, and Box.

Working knowledge of Banner, WebCT, and Crystal Reports or similar student information and reporting systems.

Knowledge of professional office practices, etiquette, and correct English grammar.

Experience in higher education is preferred, with a professional appearance, demeanor, and attire appropriate to a university setting.
