Job Summary/Basic Function:
General Description:
Performs advanced secretarial and administrative support functions in a department or work unit. Incumbents in this position may be required to use and be familiar with specialized terms, practices or systems.

Essential Job Functions:
This position provides complex administrative support to the Office of the Vice President for Student Engagement. Interprets and explains policies and procedures and resolves problems or complaints as necessary. This job title provides first-line customer service by greeting and assisting students, staff, faculty, parents and guests; taking incoming calls and routing calls to the correct office or person; copying and distributing messages within the office; and answering questions from students, faculty, staff and the public. Develops and maintains a positive and professional customer service orientation. Utilizes the on-line system for purchasing, student conduct, student involvement, educational programs, and other university software systems (i.e., Maxient, Banner, Argos, etc.).

Assist the Associate Vice President & Dean of Students with student conduct, scheduling appointments, preparing written correspondence, scheduling student conduct meetings and training conduct board, ensuring the security of all student conduct files, managing student conduct and educational program data system; tracking and preparing files and information as appropriate. Creates and maintains records and filing systems for project files. Will work and provide information to students involved in student conduct, Title IX sexual misconduct, and student of concern matters. Will provide administrative support to the Executive Associate for the Division of Student Engagement as needed. Assist the Executive Associate for the Division of Student Engagement in the supervision of the front desk student staff. Maintains confidentially about all matters within the office.

Will maintain and schedule meetings for professional staff, manages the AVP & Dean of Students calendar, and serves as the primary assistant to the AVP & Dean of Students. This job title performs other related duties as serving as the travel coordinator, maintains physical inventory reports, and acts as a courier for the transport of mail and supplies to/from on-campus centers and departments.

Will provide assistance to the Executive Associate as needed.

Education/License Required: Work requires knowledge of a specific vocational, administrative, or technical nature which may be obtained with a two-year associates degree, diploma or equivalency from a college, technical, business, vocational, or correspondence school. Appropriate certification may be awarded upon satisfactory completion of advanced study or training. Prefer a bachelors degree.

Experience Required: Over three years up to and including five years of secretarial/clerical experience.

Knowledge, Skills & Abilities: Position typically includes work that requires the direction of occasional, non-regular employees, including student assistants, work-study students, seasonal employees, interns, and part-time hourly employees.

Work requires contacts with co-workers from other organizational units of the University, primarily non-department heads, and students, vendors, and the general public. Resourcefulness is required to reach or adjust working agreements within departmental procedures and operating needs. Tact and judgment are requirements in obtaining or giving information of a confidential nature.

This position title normally performs their duty assignment after receiving general instructions as to methods, procedures, and desired end results. There is some opportunity for discretion when making selections among a few, easily identifiable choices. The assignment is usually reviewed upon completion.

This position requires a comprehensive, practical knowledge of a technical field with the use of analytical judgment and decision-making abilities appropriate to the work environment of the organization.

This position maintains and reconciles budgets for the areas under the AVP & Dean of Students. Monitors expenditures and performs simple analysis on accounts. Researches discrepancies and prepares special and recurring reports.

Physical Requirements: Sedentary, exerting up to 10 lbs. occasionally or negligible weights frequently; sitting most of the time.
