Job Summary / Basic Function
Job Summary:
The Administrative Associate Sr. manages the day-to-day operations of the department, to include clerical support for all Technology Department programs. Serves as assistant to chair and receptionist for Department of Technology. Provides information to students, faculty, staff, and community.

Duties include, but are not limited to:
  • Maintain and process faculty travel requests.
  • Edit, proof, and write departmental documents.
  • Prepare and process routine program, office, college documents.
  • Process semester textbook orders for entire department.
  • Process internal and external requisitions.
  • Provide statistics as needed for department reports.
  • Sort and distribute incoming and outgoing mail.
  • Maintain and update syllabi and syllabi file.
  • Assist with assessment.
  • Coordinate advising.
  • Maintain, order, and inventory departmental supplies and equipment.
  • Organize and maintain office, program and academic files.
  • Make copies, send faxes, type non-computerized forms.
  • Attend required training sessions.
  • Perform all other relevant duties as required.

    Major Essential Job Functions:
  • Maintain all inventory and budget for office.
  • Make and maintain all requisitions and purchase orders for the fiscal year.
  • Prepare all F3.2's for the Technology Department.
  • File, fax, and scan documents and records and open incoming mail.
  • Create documents and spreadsheets
  • Validate and post full-time faculty's and adjunct faculty's current schedules, and licenses.
  • Answer phone, retrieve and respond to messages.

    Other Duties as Assigned:
    Other duties may be assigned to this position on a regular or occasional basis to respond to needs of the Institute.


    Minimum Qualifications
    Minimum Education Required:
    High school diploma or GED is required.

    Minimum Experience Required:
    Minimum Qualifications:
    Three years experience in an office environment and/or additional courses in office administration, business skills, and/or computer software.
    Advanced skill in the use of Windows, Office Professional including Outlook, Word, and Excel.
    Experience organizing and maintaining records and files.
    Excellent customer service and telephone skills
    Strong writing, proofing, and editing skills.
    Strong math skills.
    Skill in the operation of business machines such as scanner/copier/etc.

    Key Competencies:
    Uses Microsoft Outlook, Word, Excel and other computer software programs to efficiently complete assigned tasks.
    Research and organizes data for analysis and decision-making.
    Performs basic arithmetic to calculate data and resolve discrepancies.
    Attends to details and pursues quality in accomplishing tasks.
    Manages time, priorities and resources to meet department and college deadlines.
    Respects and maintains confidentiality of faculty and student information.
    Listens and communicates in an effective manner both orally and in writing.
    Works cooperatively with fellow employees and supervisors in large department.
    Adheres to all college and department policies and procedures.

Monday through Friday and be willing to work scheduled evenings for advisory committee meetings.

    Preferred Qualifications
    Preferred Qualifications:
    Certificate or Associate Degree in Office Technology or similar field.
    Experience working in higher education institution.
    Experience in the use of college computer systems (Banner, Argos) and other software.
    Microsoft Office Certification in Word or Excel.
