Some highlights and details associated with this position:

  • College Campus work schedule of Monday - Thursday, 7:30 a.m. - 5:00 p.m. and Friday 8:00 a.m. - 12:00 p.m. Over the summer, that changes to Monday - Thursday 7:00 a.m. - 5:00 p.m. with Friday off. This position may also work some evenings and weekends as necessary.
  • Health benefits: The District offers several plans to employees, many of them at no cost to the employee. Additionally, Butte College employees have access to two Health and Wellness Centers through Butte Schools Self-Funded Programs. Employees can receive free or reduced cost care (depending on plan election).
  • This year's winter break will be from December 21 - January 1 with pay

OVERVIEW:
Under the direction of an administrator, performs a variety of duties and responsibilities related to receiving, analyzing, and validating financial aid, veterans and Board of Governors Grant applications; performs needs analysis, determines eligibility and packages awards in accordance with District policies and Federal, State and local requirements.

DISTINGUISHING CHARACTERISTICS:
This is the second level class in the Financial Aid / Veterans Assistant series. Positions in this class perform the full range of duties under general supervision and may be assigned specialized or more complex assignments requiring advanced skill. All positions assigned to this class work independently, exercising judgment and initiative within general guidelines in performing the full range of duties assigned to this classification.



Representative Duties:

The duties recorded below are representative of the duties of the class and are not intended to cover all the duties performed by incumbent(s) of any particular position. The essential duties of the class are indicated with an asterisk *

  1. Assists students in applying for financial aid, veteran's benefits, and BOG fee waivers; issues and receives applications and forms*
  2. Provides information to the public at front counter, by phone and in workshops*
  3. Receives, sorts and distributes mail; answers telephone and initiates, screens and directs telephone calls; assists and directs visitors; determines priorities and independently responds to and initiates correspondence as appropriate*
  4. Assists students with loan procedures, issues and receives loan applications*
  5. Explains federal and state financial assistance programs to students*
  6. Completes financial aid verifications for outside agencies
  7. Operates a variety of office equipment including copier, fax, adding machine, computers and associated software programs, scanner/document imaging equipment and laser printers, etc*
  8. Prepares and maintains a variety of records, files and reports related to financial aid and veteran's activities*
  9. Keeps informed of present and pending laws, rules, regulations and interpretations pertaining to financial aid and veteran's programs in order to apply them to student situations*
  10. Types a variety of forms, reports, correspondence, billing statements and purchase and work orders, etc*
  11. Attends meetings, takes minutes and prepares information packages
  12. Records student aid adjustments and/or cancelations in various financial aid and veteran's programs and submits for processing*
  13. Performs a variety of clerical and office duties and responsibilities related to the Financial Aid and veteran's programs*
  14. Performs awarding process and monitors student academic progress*
  15. Serves on a variety of District committees as requested
  16. May perform other duties as assigned


Qualifications/Requirements:

MINIMUM QUALIFICATIONS:
EDUCATION/EXPERIENCE:

  • Graduation from high school, G.E.D. or the equivalent*; AND
  • Two (2) years of experience closely related to the duties and responsibilities of this class.
*High School education equivalency equals four (4) years of full-time, paid work experience.

  • Sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity and sexual orientation, and ethnic backgrounds of community college students and staff.

DESIRED QUALIFICATIONS:

  • Three (3) years of experience working within student services at an educational institution.
  • Holds and maintains a valid Drivers' license throughout duration of employment with the District.
  • Associate's degree or the equivalent* in Business, Office Information Systems, Social Science or a related field.
* Associate's Degree education equivalency equals two (2) years of increasingly responsible work experience for each full year (24-30 units) of college.

KNOWLEDGE, SKILLS, AND ABILITIES:
May be acquired through education, training, and/or experience.

Knowledge of: District policies and procedures; methods and practices of financial record keeping modern office practices and procedures; modern office equipment, including computers; filing systems, receptionist and telephone techniques; correct English usage; letter and report writing; the regulations, policies and procedures of federal and state financial aid and veteran's programs.
Ability to: understand and apply District policies and procedures; perform a variety of clerical work, perform mathematical calculations with speed and accuracy; utilize various computers and associated software programs; learn and interpret the regulations, rules and policies, and procedures of the financial aid and veteran's programs; operate various office equipment including calculators, fax machines, copiers, printers, etc.; utilize keyboarding skills commensurate with the required functions for this position; work independently; apply good judgment; accurately research various information and prepare related reports and correspondence; demonstrate clear evidence of sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability and ethnic backgrounds of community college students; establish and maintain cooperative relationships with those contacted during the course of work; follow oral and written instructions.

WORK DIRECTION, LEAD AND SUPERVISORY RESPONSIBILITIES:
Not applicable - no assigned permanent staff to supervise. May provide work direction to student and/or short-term employees.

PHYSICAL EFFORT:
Normal office environment. May require standing at customer service window for long periods of time.

PRE-EMPLOYMENT REQUIREMENTS:

  1. The successful applicant will be required to complete a medical history questionnaire and must agree to undergo and pass a pre-employment physical examination, based on the physical requirements of the position, prior to employment. The physician will be selected and paid for by the District. Disabilities not related to the essential physical job requirements will not preclude the applicant from being hired.
  2. Education Code 87408.6 states that no person shall be initially employed by a community college district in an academic or classified position unless the person has submitted to an examination within the past sixty (60) days to determine that he or she is free of active tuberculosis.
  3. As a condition of employment the position you are applying for will require that you provide fingerprints to the local police department. The fee charged by the Department of Justice (DOJ) for the fingerprint report is the employee's responsibility. If you should be offered this position you will be asked to sign a payroll deduction form which will authorize the District to deduct the fee charged by the DOJ from your first paycheck.
