Assistant Registrar External Credit

JOB SUMMARY

The Assistant Registrar for External Credit is responsible for maintaining credit applied to students from external sources, the external credit institution database, and course equivalencies. The Assistant Registrar upholds University external credit policies, course equivalency standards, and accreditation requirements. Utilizing their knowledge of grade and domestic and international transfer credit evaluation, they advise the Study Abroad, Admissions, and colleges on best practices regarding credit and grade conversions for external institutions. The incumbent assesses the impact of changes to external credit on the students, curriculum, and the systems. Attention to detail, data and problem-solving skills are essential for troubleshoot potential student credit issues and errors that occur in the external credit bridge to the student system.

Assistant Registrar responsibilities include:
  • Execute and refine operational workflows within their unit regarding external credit for students including external credit, study abroad, and life-long learning credit while upholding the university external credit policies and standards.
  • Maintain the external credit database with faculty evaluated equivalencies. Incorporate study abroad courses into the external credit database.
  • Develop a collaborative, meaningful, action-oriented, and overall productive partnership with Admissions, Study Abroad, faculty and other stake holders to assess external institutions' accreditation, credit, and grade systems to ensure an accurate evaluation for students. Consult with faculty on questions regarding institutions or courses.
  • Support the external credit intake for special student cohorts and study abroad credit. Manage external credit petitions, external credit exceptions, and serve as the main contact for Faculty, Advisors and departments to resolve external credit and external credit equivalency issues.
  • Ensure continuous process improvement, integrity, documentation, and compliance standards are met within the unit. Leverage data and analytics to provide data-driven recommendations and solutions.
  • Model and drive operational excellence in individual contributing staff and unit peers to meet business critical organization-wide processes and tasks. Contribute to registrar and network projects and task forces; participate in discussions regarding current and future trends in opportunities and challenges related to student records and external credit, and other related topics as they develop.


MINIMUM QUALIFICATIONS
  • Bachelor's degree is recommended.
  • Minimum 1-2 years of working with student external or transfer credit.
  • Demonstrated ability to manage and deliver operational recurring workflows for student records or external credit.
  • Experience with a student information system, Banner preferred.
  • Demonstrated ability to support diverse constituents through shifting workloads and priorities.
  • Experienced analytical and creative thinker who, when solving problems, understands the impact across the student systems and leverages relationships to get buy-in and support for solutions and enhancements, with a focus on root cause analysis and solutioning.
  • Experience in executing individual and team performance goals, supporting an efficient and rewarding employee experience to assist in recruiting and retaining a high-performing peers and team.
  • Demonstrated proactive and consultative customer and student service orientation.
  • Familiarity with state and federal laws, such as Compliance/Criminal Offender Record Information (CORI) and Family Educational Rights and Privacy Act (FERPA); experience working in partnership with a general counsel's office; experience with and knowledge of governmental and accrediting agencies.
  • Knowledge of operational and project best practices, systems, policies, and procedures in a fast-paced, complex, and dynamic setting, including strong analytical skill and data management.
  • Can effectively communicate established tasks, timelines, objectives; communicates to their cross-functional stakeholders and team the context of their work. Ability to communicate with clarity and confidence; ensures that teams across initiatives understand the context of their work and how it interacts with larger team goals


KEY RESPONSIBILITIES & ACCOUNTABILITIES

1) Maintain the external credit/study abroad database with faculty evaluated courses. Evaluate institutions for accreditation, external creditability of credits, grading systems, contact hours, and other academic standards. Collaborate with Admissions and GEO staff to ensure best practices are followed. (35%)

2) Process external credit petitions and study abroad credit and grades for returning students. Work closely with the college advisors and the GEO staff to ensure students have the proper grades and equivalencies to be added to Banner. (35%)

3) Assist with processes for pathway students which may include reviewing course equivalencies, loading students, creating course sections, and assisting with grading students. (15%)

4) Support the team with projects, testing, and processing as the time of year dictates. (15%)

Expected Hiring Range:
$52,820.00 - $74,607.50

With the pay range(s) shown above, the starting salary will depend on several factors, which may include your education, experience, location, knowledge and expertise, and skills as well as a pay comparison to similarly-situated employees already in the role. Salary ranges are reviewed regularly and are subject to change.
