Job Description Summary
The Associate Director of PennPraxis oversees operations, budgeting, financial management, procurement and personnel, scheduling, and other administrative functions. A senior member of the Praxis team and thought partner for the Executive Director, the Associate Director supports the Executive Director and Praxis colleagues on communications and business development, including proposal writing and layout. They work closely with the Executive Director on strategic planning, program planning, and oversight and support of practice area leaders and project managers to strengthen project management and outcomes. The Associate Director independently manages select projects, supervises design fellows, and oversees the Praxis budget to ensure adherence to financial guidelines.

Job Responsibilities
Project management oversight and direction, including:
- Independent management of all aspects of select projects from proposal development to completion including designing project schedules, coordinating field work, managing data, and preparing and overseeing budgets.
- Supporting other project managers with client communication, editing of project deliverables, and oversight of project financial management.
- Development and application of management tools to optimize productivity and quality.
- Assisting the executive director in developing new business development strategies.
- Preparation of written communications for the organization, including correspondence, reports, planning documents, board materials, and proposals.
- Leading and supporting the coordination, writing and layout of funding proposals and grant reports, scheduling meetings, and communicating with donors, DAR and the Weitzman Development team.
- Preparation of reports to the Dean's Office on Praxis accomplishments, goals, and priorities.
- Collaboration with the Executive Director, Communications office, and Praxis staff on the development and editing of a range of communications types including video.
- Development of annual budget with the Executive Director and Weitzman School Finance Director.
- Oversight of financial reporting and management tools requiring independent decision making with the assistance of Praxis staff and the Research Support Center.
- Facilitation of procurement of goods and services as needed for projects.
- Review of project spending against budgets on a monthly basis.
- Determination of payroll allocations and reallocations as needed throughout the fiscal year to stay within budgets.
- Collaboration the Weitzman School Finance Director who develops financial reports for board meetings.
- Coordination of the hiring process including drafting and disseminating job postings, scheduling interviews, and onboarding design fellows in collaboration with the Praxis team, faculty collaborators and Weitzman Finance.
- Support of other project managers with payroll accounting and timesheet oversight.
- Oversight of day-to-day operations and supervision of small staff to ensure effectiveness of team.
- Leading or contributing to staff meetings on strategic planning, business development, communications, project kick offs and calendaring, project development, project retrospectives, fundraising and stewardship.
- Support of staff growth through observation, guidance and assessment.
Qualifications
Required
- Bachelor's degree and 3 to 5 years of experience or equivalent combination of education and experience.
- Excellent ability to multi-task and prioritize both in the short and long-term.
- Excellent communication skills across a diverse community of faculty, staff, and students.
- Attention to detail and confidentiality.
Preferred
- Experience using BEN Financials, Penn Marketplace, Concur, and a purchasing card.

Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, and in alignment with salary ranges based on external market data for the job's level.
