Job Summary
Coordinates day-to-day operations, including procedural matters, project scheduling, staff scheduling, budgeting, and administrative tasks related to the Customer Experience division. Acts as the main point of contact for office duties and field operations.
Responsibilities
1. Coordinates day-to-day operations by maintaining the division calendar, daily reports, and daily assignments.2. Works closely with the division manager, collaborating and assisting on current, targeted, and new assignments, projects, goals, and initiatives. This may include assisting with proposals, research materials, and outreach publications.3. Acts as the main point of contact for division operations and related projects and fills in for the division manager as assigned.4. Assists customers in our office, over the phone, and through emails.5. Must remain in good standing regarding the use of department vehicles, which is required to complete some assignments or respond to field situations.6. Manage supply inventory and maintain division equipment.7. Report office, field information, and metrics to the manager.8. Assists with hiring, training, direction, and oversight of 1-4 part-time employees.9. Respond to field situations and coordinate with the division manager for appropriate response. 10. Prepares weekly or semester work schedules, assignments, and support staff work actions. Ensures that all positions under assignment are filled at all times.11. May be assigned to maintain project records, lists, files, and budget records and assist with reconciling accounts and expenditure statements.12. Provide information to related parties regarding policies and procedures of projects or division to the direct manager.13. Monitor the progress of projects and participants, including counseling and administering tests.14. May coordinate seminars, workshops, luncheons, and meetings on division-related topics.15. May act as the University's representative for this division when contacting other departments and outside organizations.16. Purchases supplies, assists in budget preparations, and recommends capital equipment purchases for assigned areas.17. Oversees developing and implementing a continued training program for assigned division responsibilities.18. Additional responsibilities related to the creation of future ventures may be assigned.

Minimum Qualifications
Bachelor's degree or equivalency (2 years related work experience may be substituted for 1 year of education) in a related area and a strong commitment to providing excellent customer service and effective communication skills required. Strong coordination and organizational skills required to prioritize conflicting deadlines. Ability to work independently, analyze, and make decisions to provide support to internal and external customers.
