Job Duties:

Bucknell University is currently accepting applications for a Scheduling and Events Coordinator. The successful candidate for this position will oversee the routine, non-academic scheduling of events using the University's scheduling system, Mazevo. Provides daily event support for the office, including: presenting at multiple new-member information sessions to train on the current scheduling policies and processes; and supporting additional events, as needed. This role will be expected to handle multiple projects and assure applicable approval processes by following the University's policies and procedures.

Monday - Friday, 8:30am - 4:30pm (35 hours/week), 12-months

What You Will Do:

  • Facilitates requests for the scheduling of co-curricular and social events for campus facilities, as well as generates and distributes event confirmations and event reports.
  • Coordinates all requirements for events with event planners from identifying the resources needed, including coordinating space reservations, catering, technology, public safety, parking, setup, and resources from other campus partners.
  • Works collaboratively with other event support staff to proactively find solutions for improving the scheduling system, user experience, and the event scheduling process.
  • Supports events as needed, including occasional nights and weekends support, securing resources, and confirming setup needs with facilities and other supporting personnel.
  • Serves as the scheduling advisor, providing relevant information to individuals or student groups, including approval processes, training, and marketing materials, and scheduling policies and procedures.
  • Validates applicable approval processes are completed. Ensures all students, faculty, and staff follow proper policies and procedures for their events and advertising around campus.

What You Will Bring:

Required:
  • High school diploma or GED
  • 2 years work experience in events operations and management
  • Excellent communication skills
  • Ability to manage multiple responsibilities, adjust priorities in a very busy environment, and work independently
  • Proficiency with computer systems, the internet, standard office systems and basic business practices


Preferred, But Not Required:
  • Vocational or technical training or degree
  • Bachelor's Degree
  • Working knowledge of Mazevo (or similar), DocuSign, Adobe Express and Canva or similar design programs
  • Project management experience in a higher education setting

Physical Requirements:
  • Office environment, requiring some repetitive motions, such as typing and talking
  • Ability to lift up to 25lbs and support event setups

18.40-23.00

The offer rate will be based on a review of the candidate's credentials compared to the qualifications of the position, internal equity, and our overall compensation philosophy.

This role is not budgeted for visa sponsorship at this time, all candidates must be authorized to work in the US at the time of submission of the application.
