Job Description
The University of Tennessee, Knoxville invites applications for an Administrative Associate in the College of Communication and Information (CCI).

This position is responsible for welcoming students, parents, faculty and staff into the undergraduate programs and advising center via in-person, online, and telephone. The administrative associate screens questions and inquiries from University/College administrators, directors, faculty, staff, students (current and prospective), and visitors/callers and directs them to appropriate personnel or departments. The incumbent maintains the front office and is responsible for assisting students with scheduling and advising appointments.


Responsibilities
  • Manage the front office.
  • Maintain 1500+ active student records each semester.
  • Provide vital information to college administrators for reporting purposes.
  • Process major and advisor changes in Internet Native Banner.
  • Complete the processes for credit overloads and student permits in Internet Native Banner.
  • Enter all curricula exceptions into DARS for students in CCI and students in other academic units pursuing study through minors offered in the college.
  • Assist the Assistant Dean of Undergraduate Programs and Advising with the review of degree audit reports for candidates for graduation.
  • Liaise with the registrar's office.
  • Compile reports and analyze data.
  • Complete the 14-day count report for undergraduate enrollment.
  • Coordinate the student distribution of exit surveys for graduating undergraduate students.
  • Compile additional reports and data as needed.
  • Direct in-person student traffic.
  • Answer main phone line and triage phone inquiry.
  • Distribute information to students and visitors to the Center.
  • Direct students and visitors to the appropriate office or department.
  • Coordinate scheduling of student appointments with advising personnel (concentrated during Summer Orientation).
  • Monitor and correspond with students and prospective students via CCI email account.
  • Discern when to refer students to appropriate campus resources.
  • Provide administrative support to Assistant Dean and Associate Director.
  • Manage the Assistant Dean's calendar.
  • Provide administrative support to academic advisors as needed.
  • Ensure materials are ready for advisor and student use.
  • Maintain office supply inventory.
  • Manage printing and mailing.
  • Assist with program materials for workshops and events, making copies as needed, creating name badges, and other tasks.
  • In consultation with Assistant Dean, develop internal processes and procedures for responsibility areas.
  • Assist with special projects related to Undergraduate Programs and Advising.

Qualifications
Required Qualifications:
  • High school diploma or equivalent.
  • One year of experience working in an office environment.
  • Ability to work with a diverse group of students and coworkers within the College.
  • Ability to multi-task and prioritize task completion in a timely manner.
  • Knowledge of Microsoft Office suite, especially Microsoft Excel.
Preferred Qualifications:
  • An associate or bachelor's degree.
  • Experience working with students in higher education.
  • Knowledge of Native Internet Banner, Self-Service Banner, Navigate or Salesforce, and ARGOS.
  • Knowledge of undergraduate advising processes.
  • Ability to clearly communicate with students on a range of topics.
  • Understanding of higher education practices.


Work Location: On site in Knoxville, Tennessee.

Compensation and Benefits: The anticipated starting salary for this position is $34,000.00 to

$39,000.00 depending on the selected candidate's experience, qualifications, and suitability.
