Job Description Summary
Reporting to the Director of Operations, the Special Assistant to the Head Coach plays a key administrative role in supporting the external operations of the Men's Basketball program and the strategic priorities of the Head Coach. This temporary, non-coaching position focuses on external relationships, coordination, communication, scheduling, fundraising support, and project management. The role requires exceptional attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced, team-oriented environment. The Special Assistant serves as a behind-the-scenes contributor to ensure the smooth execution of the program's strategic and operational goals.

Job Description

Responsibilities
  • Provide administrative and strategic support to the Head Coach, including managing external relationships, coordinating meetings, preparing documents, and ensuring timely communication.
  • Support fundraising and development efforts by assisting with donor outreach, network development, event organization, stewardship efforts, and tracking communications with alumni and other prospects.
  • Support special projects and community outreach initiatives with alumni and other constituents as directed by the Head Coach.
  • Assist with logistics, including scheduling, travel coordination, itineraries, and event organization.
  • Help maintain accurate program records and databases, schedules, and administrative files.
  • Other duties as assigned.


Qualifications
  • Bachelor's degree required
  • 1-2 years of experience in athletic administration, operations, or a related field preferred
  • Excellent organizational, written, and verbal communication skills
  • Strong computer skills including proficiency in Microsoft Office, Google Workspace, and familiarity with scheduling and database platforms
  • Ability to handle sensitive information with the highest degree of professionalism and confidentiality
  • Detail-oriented with the ability to manage multiple projects and deadlines simultaneously
  • Must be available to work flexible hours including evenings and weekends, and travel as required
  • Valid driver's license required

Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, and in alignment with salary ranges based on external market data for the job's level.
