The Center for Wave Phenomena (CWP) in the Geophysics Department at Colorado School of Mines invites applications for the position of CWP Program Manager.
Key aspects of this part-time (20hrs/week) role include serving and collaborating with the CWP principle investigators (PI), visiting scholars, graduate students, undergraduate students, alumni, industry sponsor representatives, and various funding agencies; providing current budget management and long-range budget analysis and projection; managing business development and sponsor recruitment and retention; assisting with resource management; and facilitating internal and external communications for CWP. This position will provide CWP with account administration and budgeting, communications with sponsors, alumni, faculty, and students, making both delegated and independent budgetary decisions for consortium accounts.
Primary Responsibilities:
Financial Management, Budgets and Contracts (45% Essential)
- Manage all CWP research accounts, the PI's professional development and research development accounts, and other discretionary accounts
- Retain and analyze budget income and expense histories to assist with high-level, multi-year budget planning. By direction, coordinate with administration to authorize fund commitments based on negotiated contracts.
- Monitor and compare expenditures to set budgets; report results regularly to CWP faculty. Reallocate charges to different accounts, as needed.
- Prepare all employee contracts; execute and track salary expenditures.
- Execute and track expenditures in all accounts established through CWP, including research, professional development, research development, and Foundation funds.
Project Management (25% Essential)
- Prepare, edit, and distribute all contracts related to consortium research. Follow up with sponsor representatives to ensure timely execution of contracts and payments.
- Review incoming contracts for changes and accuracy and seek input from CWP Director or Office of Research Administration (ORA), as appropriate, regarding the applicability and suitability of the proposed changes
Communication (15% Essential)
- Maintain an accurate database and mailing list of (potential) CWP sponsors and alumni and communicate the activities of CWP to sponsors and alumni, as contractually necessary and appropriate. Archive information in a database so that it can be accessed efficiently.
- Collaborate with all CWP consortium meeting presenters to make available project review reports to be distributed as per the CWP Consortium Member contract through the CWP webpage
- Develop, maintain and update regularly the CWP webpage and social media presence
- Write, design, and distribute marketing and informational brochures, both in electronic form and on the web
- Assist with poster printing for professional conferences
- Archive and disseminate technical publications in electronic form, as contractually appropriate. Maintain publications database and bibliography for the entire Center.
Meetings (15% Essential)
- Supervise logistical matters of: (1) the annual CWP Sponsor Meeting with about 40-50 external attendees; and (2) the CWP component of the Mines Geophysics Department and Consortium Reception at the IMAGE meeting
- Scout venues for meetings as necessary. Negotiate, in conjunction with the Geophysics Department Manager and Mines Procurement office, contracts with meeting venues. Ensure that all meeting-related events provided to sponsors are suitable and cost-effective, and that meeting facilities are of sufficient size and quality for the event and are equipped with appropriate audio/video equipment.
- Develop and maintain a convenient, customer-friendly system for advance meeting registration, and communicate with meeting attendees, before, during, and after the meeting, to ensure that all attendees feel welcomed and have any special needs met
- Manage all internal activities in preparation for the meetings. Monitor important deadlines and deliverables to ensure timely preparation of sponsor meeting materials.
- Ensure that necessary publications, including student theses, are made available in electronic forms to meeting attendees and sponsor representatives.
Minimum Qualifications:
Education and Experience:
- Bachelor's Degree or equivalent In Business, Communications, or field related to the responsibilities of the position.
- At least two years of experience with business and research development activities, preferably in a government or higher education setting.
- Experience writing and editing technical documents, and with developing and managing websites and publications.
Knowledge, Skills, and Abilities:
- Excellent interpersonal and communications skills.
- Significant, documented experience with all document management applications equivalent to the Microsoft suite, text editing software, and publishing software.
- Experience with website design and webpage maintenance.

Hourly Rate
$28.00 - $32.00 per hour
Mines takes into consideration a combination of candidate's education, training and experience as well as the position's scope and complexity, the discretion and latitude required in the role, work location, and external market and internal value when determining a salary level for potential new employees.
