Job Description
Team leader directing, training, supervising, and, evaluating the administrative and accounting functions for University Printing, Mail, Convenience Copy, and Postal Services. This is a large, high-volume department that generates high-end print production pieces in wide ranging quantities, handles the preparation and mailing of mass communications, receives thousands of pieces of mail and packages per week, and provides multi-function machine support to hundreds of offices. The Sr. Manager's team supports fiscal operations and recommends modifications to operations that include, but not limited to, tracking performance vs. budgets, projecting revenues and expenses, assessing rate structures, oversight of inventory management, billing, and payroll, basic human resources, and other services. Collaborates regularly with University Shared Services on high-level budgeting, HR support, and enterprise system management. Integrates areas of oversight with other UPM team leads to ensure proper operations. Provides data and recommendations to the Director in support of strategic planning initiatives. Serves as a member of the senior management team.


Responsibilities
  • Oversee the verification and processing of vendor invoices are ready for payment on time and with precision.
  • Ensure UPM coordination and integration with the University's Oracle-based enterprise system wherever possible to ensure efficiencies.
  • Manage the coordination with Purchasing on contracts, purchasing agreements, RFPs and similar. Tracks contracts for compliance and renewals.
  • Maintains extensive understanding of institutional and departmental financial policies.
  • Approves/reviews departmental payroll, purchasing/travel card reconciliations, monthly financial reporting, and office transactions referring compliance and practice issues back to the director or originating unit.
  • Ensuring on-schedule delivery of all items.
  • Maintains big picture perspective in order to ensure that all expenditures are evaluated to assess impact on departmental operational needs and financial goals.
  • Presents future budgets and provides regular updates and recommendations to Director and Shared Services.
  • Oversee the preparation of monthly income and expense reports, which includes analysis of performance and opportunities.
  • Ensure proper reconciliation of financial reports.
  • Review and approve monthly state sales tax reports, ensuring they are properly prepared if generated by others.
  • Maintain the equipment inventory records including the annual equipment depreciation report.
  • Oversee the preparation of year-end financial reports for the Finance & Administration office.
  • Collects and analyzes data necessary for annual budget preparation & reporting, physical and space inventory surveys, etc.
  • Leads collective efforts with reporting team and shared services to address HR related efforts and matters.
  • Lead/Supervise the Business Management Team, planning/preparing for anticipated heavier work loads and ensuring team schedules are appropriately set in advance to meet demands, which can include overtime at certain peak periods.
  • Monitor personnel to insure the University's Policy & Procedure Guidelines are followed.
  • Prepare Annual Performance Reviews for reporting team and assist other supervisors with developing the same.
  • Coordinate with HR & Shared Services on hiring and necessary employee documentation. Develops and disseminates new policies and procedures and providing training as needed to current and new employees.

Qualifications
Requirements:
  • Education:
    • High School diploma or GED and 5 years of relevant experience
    • OR a Bachelors degree
  • Knowledge, Skills, and Abilities
    • Knowledge of financial accounting and personnel management.
    • Skills required to perform job functions, which includes data entry, software proficiency, meticulous attention to detail, and strong written and in--person communication.
    • Must be able to relate to other team members and business partners. This is a relationship business built on a team-first operation.
    • Ability to manage all financial, budgeting, accounting, tax compliance, billing, travel, order entry and customer service functions performed in the department.
    • Ability to serve as administrator for primary print MIS and any other departmental software as required.
    • Knowledge of Microsoft Office suite, with a high proficiency in the use of Word and Excel and similar.
    • Ability to read, understand, and follow contracts, purchase orders, and similar documents.
    • Knowledge of payroll and departmental HR duties, and ability to interact with HR, Payroll, A/P departments at UT.
    • Enjoys problem-solving and offers solutions where possible.
    • Ability to work a flexible schedule to meet departmental and University deadlines at peak periods. Primarily first shift, Monday through Friday.


Preferred Requirements:
  • Education:
    • Masters degree in Business or Finance
  • Knowledge, Skills, and Abilities:
    • Knowledge of the printing industry and web-to-print solutions.
    • Knowledge of Oracle or similar enterprise level programs.
    • Knowledge of audit and compliance principles.
    • Ability to create and design custom reporting in the departmental software as needed.
