JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Associate 2 provides administrative assistance to the Chairman, Manager, and faculty of the Department of OB/GYN with a high level of responsibility including coordinating and organizing many activities for the Chairman and department. This position represents the Department of OB/GYN and the institution as one of the first contacts for visitors, faculty, and other departments both internally and externally.


Responsibilities
  1. Coordinates electronic scheduling of conference rooms; readies conference rooms for meetings by establishing Zoom and conference calls; ensures all equipment is functional and distributes all documents necessary for meetings.
  2. Oversees the reimbursement process for full-time faculty members and guest travelers.
  3. Maintains and updates CV for the Chairman and faculty of the Department of OB/GYN.
  4. Utilizes various software packages (Word, Excel, PowerPoint) to generate correspondence, manuscripts, and presentations at the request of the Chairman.
  5. Manages and updates the Master Address database in Microsoft Access for the purpose of creating mailing labels for special functions.
  6. Attends meetings, compiles minutes, creates priority steps, and provides feedback and reminders, as needed, to attendees.
  7. Manages monthly time sheet entry for faculty and staff.
  8. Assists the Manager with full-time faculty recruitment.
  9. Performs other duties as assigned.

Qualifications
EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE: Two (2) years of administrative experience; OR Associate's Degree in lieu of experience.

KNOWLEDGE, SKILLS, AND ABILITIES:
  • Excellent written, interpersonal, critical thinking, and verbal communication skills to communicate appropriately with physicians, administrators, and other departments within and outside own institution.
  • Skill utilizing Microsoft Word, Excel, PowerPoint, and Outlook.
  • Ability to maintain discretion in identifying and processing sensitive and confidential information/assignments.
  • Ability to work under pressure with time constraints while handling changing priorities/deadlines to complete assigned tasks.
  • Flexibility to complete assigned tasks and assist faculty in a multitasking work environment.

WORK SCHEDULE: This position may occasionally be required to work weekends and evenings.
