Salary Range: $47,955 - $61,878 annually. Compensation will be commensurate upon experience and qualifications.This position is Exempt from the Fair Labor Standards Act (FLSA) overtime provisions.

Summary

The Administrative & Engagement Specialist provides administrative, wellness, community engagement, and communications support for the Department of Public Safety. This position assists with department events, wellness initiatives, manages social media communications, provides HR and finance process support, and ensures smooth day-to-day administrative operations. The role requires strong organizational skills, discretion, and the ability to work collaboratively across the department and university.



Essential Functions

The duties and responsibilities of the position include, but are not limited to:

Community Engagement & Events
  • Coordinate DPS events, recognition ceremonies, community engagement activities, and assist with crime prevention program logistics.
  • Provide support for outreach initiatives and strengthen partnerships with students, staff, faculty, and community members.

Wellness & Employee Engagement
  • Assist with department wellness initiatives, such as morale/recognition programs, employee appreciation activities, and wellness-focused events.
  • Serve as a point of contact for DPS participation in campus wellness campaigns and initiatives.
  • Support efforts that encourage employee work-life balance, recognition, and retention.

Communications & Social Media
  • Develop, publish, and monitor content for DPS social media accounts.
  • Create long-term engagement strategies to expand the department's outreach.
  • Draft correspondence, announcements, and internal communications for DPS leadership.

Administrative Support
  • Manage scheduling, calendars, and meeting preparation for DPS leadership.
  • Maintain department files, records, and documents.
  • Prepare reports, presentations, and other administrative materials.

HR & Personnel Support
  • Assist with onboarding and orientation for new employees and student staff.
  • Track evaluations and other routine personnel documentation.
  • Serve as a liaison with HR for standard forms and compliance processes.

Financial & Administrative Support
  • Process invoices, purchase orders, procurement card transactions, and expense reconciliations in compliance with university policies.
  • Track and monitor departmental purchases, ensuring accuracy and budget alignment.
  • Serve as a liaison with University Finance and Procurement Services for payment processing, contracts, and purchasing compliance.
  • Maintain records of financial transactions and provide regular reports to DPS leadership.
  • Assist with preparation of budget requests, justifications, and routine financial reports.
  • Ensure timely submission of financial documentation and resolve discrepancies as needed.

Other Duties
  • Collaborate with other DPS units to support department goals.
  • Perform additional duties as assigned to ensure the efficient operation of the Department of Public Safety.

Qualifications
  • Bachelor's degree from an accredited institution in business administration, communications, public administration, or a related field is required.
  • Must have progressively responsible experience in administrative, event coordination, or communications roles.
  • Must have experience handling sensitive information.
  • Experience in administrative, engagement, or wellness program support in a higher education or public safety environment is preferred.
  • Highly qualified applicants will have experience coordinating events, recognition programs, or wellness initiatives.
  • Experience developing, managing, and tracking content for professional social media accounts is preferred.
  • Highly qualified applicants will have experience with university procurement or HR processes.
