Position Description
Performs routine administrative support or technical program assistance work. Works under moderate supervision with limited latitude for the use of initiative and independent judgment.
Major/Essential Functions
As the Administrative Assistant for Texas Tech University's Dallas-Fort Worth site, you'll be the first point of contact for guests, students, and staff-creating a welcoming, organized, and professional environment. You'll manage the reception desk, support programs and events on-site and in the community, and help maintain clean, well-stocked public spaces. You'll coordinate supplies, travel arrangements, and expense reports, while working closely with building management and assisting with testing center operations. - Provide Frontline Customer Service
Greet and assist guests, students, and staff with warmth and professionalism; answer phone calls and emails, and direct inquiries as needed.
- Support Daily Operations
Maintain a clean and organized reception area and public spaces; assist with classroom and event space resets and light cleaning; coordinate with building management; work with vendors as needed.
- Manage Site Resources
Monitor and replenish office supplies, marketing materials, and hospitality suite items; initiate purchase requests and maintain receipts and invoices.
- Coordinate Travel and Expenses
Arrange travel for staff and complete related expense reports, ensuring all documentation is accurate and submitted on time.
- Assist with Programming and Events
Prepare materials for off-site engagements and other events; maintain updated handouts and promotional items; support testing center operations. Update the team calendar with appointments, testing sessions, and site visits. Coordinate work with the Senior Event Coordinator and Facilities Manager.
- Ensure Policy and Program Awareness
Demonstrate working knowledge of Texas Tech University policies and procedures to support safe on-site operations and smooth coordination with the main campus. Maintain up-to-date knowledge of site programming and ensure materials such as flyers and handouts are current and available.
Required Qualifications
Completion of high school or the equivalent. Five years office experience. Additional education may substitute for experience on a year for year basis.
Preferred Qualifications
- Associate's degree or higher in business administration, communications, or a related field.
- Two or more years of administrative support experience.
- Experience supporting events, workshops, or educational programs.
- Familiarity with Texas Tech University systems, policies, or procedures.
- Experience coordinating travel and processing expense reports.
- Familiarity with inventory management and vendor coordination.
- Knowledge of event logistics, including room setup and hospitality.
- Experience working in higher education or a professional learning environment.
- Ability to navigate scheduling systems and shared calendars (e.g., Outlook, Google Calendar).
- Customer service experience in a front desk or reception role.
