Administrative Program Coordinator

Job Summary

The David Eccles School of Business at the University of Utah is seeking a full-time Administrative Program Coordinator to support the Eccles School Dean's Office. This dynamic role is ideal for a proactive, detail-oriented individual who thrives in a fast-paced academic environment.
This role requires an experienced professional who can provide complex administrative support to numerous executives, manage multiple priorities, and meet a variety of deadlines. Proficiency in Microsoft Office Suite is essential. Prior experience with event planning and with university or campus administrative systems is preferred. We are looking for someone who contributes to a collaborative environment, effectively communicates, and who brings a positive and professional attitude to the team.

Responsibilities
This role supports 4-5 members of the executive leadership team. Job duties in this role include:
  • Managing calendars, including scheduling and coordinating meetings
  • Organizing and managing various events (faculty and/or staff meetings, seminar speakers, conferences, community events, etc.)
  • Taking meeting minutes and preparing professional correspondence
  • Processing reimbursements and invoice payments
  • Assist with travel arrangements as needed
  • Other duties as assigned



For the Associate Dean of Research, this position provides additional support with:
  • Managing database subscriptions for faculty research
  • Tracking faculty publications
  • Compile statistical data related to faculty research

Minimum Qualifications
  • Bachelor's degree in a related field or equivalency (one year of education can be substituted for two years of related work experience), plus one year of directly related experience
  • Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required to prioritize conflicting deadlines. Demonstrated human relations and effective communication skills are also required.
