Job Summary

The Student Support Services Assistant reports to the Directors of the CAC (Center for Academic Coaching) and the ACT (Academic Center for Tutoring). The SSS Assistant collaborates with all CAC and ACT staff and student workers to ensure exceptional customer service is provided to students and other stakeholders while providing accurate and timely information via multiple channels of communication.

Responsibilities

Significant Duties and Responsibilities include: Academic Center for Tutoring - Creating and maintaining student staff schedules using the online scheduling system and managing student employee time entry and approval.; Maintaining, collecting, and collating data gathered from the online scheduling system and SIS.; Supporting the Director in marketing, recruiting, training, monitoring staff, and assessing services.; Supporting the Director in supervising and training student workers including tutors, peer leaders, and front desk support students employed by the ACT in professional standards of behavior.; Organizing and staffing internal and external events.; Managing the physical spaces of the center to ensure they stay tidy, professional,
and functional.; Creating and maintaining a welcoming and supportive lobby area including greeting students, directing them to the appropriate academic support service.; Managing incoming communications including calls, chats, and emails, to include voicemail. Communicating verbally and in writing to answer inquiries and provide information.; Independently scheduling and completing all assigned tasks accurately and in a timely manner each semester.; All other related duties as assigned. Center for Academic Coaching - Providing quality customer service and maintaining professional relationships with constituents.; Monitoring student traffic for advisors, particularly during peak advising periods.; Communicating verbally and in writing to answer inquiries and provide information (i.e., monitoring CAC advising email, LiveChat, and answering phones).; Assisting students with creating appointments, maintaining, collecting, and collating data gathered from the online scheduling system and SIS.; Supporting Director in supervising student workers employed by CAC.; Supporting the center in marketing, recruiting, training, monitoring student staff, and assessing services.; Organizing and staffing internal and external events.; Operating basic office equipment and software.; Independently scheduling and completing all assigned tasks accurately and in a timely manner each semester.; All other related duties as assigned.

Required Qualifications

Required Qualifications include: Minimum education and experience must include an associate degree (AS/AA) and at least two years of higher education experience in an administrative setting.

Preferred Qualifications

Preferred Qualifications include: Bachelor's degree in a related field.

Proposed Salary

The proposed annualized salary range for this position is $35,868 - $38,852 and includes full benefits.

Knowledge, Skills, & Abilities

Knowledge, Skills, & Abilities include: A demonstrated ability to utilize Microsoft Office 365, Teams, and student support software such as Target X and Accudemia, to include copy editing and writing traditional business correspondence.; Strong interpersonal communication and the ability to manage conflict with a strong emphasis on customer service.; Familiarity with CSU academic policies, procedures, and support services.; Experience with both Windows and Chrome computers.; Must have a thorough knowledge of the principles of office management and office procedures, systems, and equipment.; The ability to pay close attention to detail and complete tasks with a high level of accuracy in a timely manner.; The ability to effectively and efficiently multi-task.; Possess exceptional time management, interpersonal, and communication skills.; Strong organizational skills and flexibility.; Possess the ability to work independently and confidently.; Ability to work with personal information in a confidential manner.; Manage stress appropriately.; Make decisions under pressure.; Manage anger/fear/hostility/violence of other.; Handle multiple priorities.; Work independently.; Work in confined/crowded area.

Conditions of Employment

  • A credit check completed for Positions of Trust and or approved departmental Purchase Card usage;
