Position Announcement

The Senior Administrative Assistant in the Woodbury School of Business offers an opportunity to play a trusted, high-impact role at the center of academic leadership at Utah Valley University. As the primary administrative partner to the Dean's Office, this position contributes directly to the school's strategic direction by ensuring smooth operations, coordinating complex executive priorities, and supporting accreditation, financial, and academic initiatives. Summary of Responsibilities


  • Serve as strategic calendar manager for the Dean and Associate/Assistant Deans, coordinating multiple complex schedules, priorities, meetings, and travel. Anticipate and resolve scheduling conflicts, balancing competing institutional demands and deadlines with diplomacy and sound judgment. Prepare/pre-brief leaders with meeting materials, agendas, and relevant background; ensure follow-through on action items. Coordinate high-level appointments with university administration, advisory boards, donors, external partners, faculty leadership, and accrediting bodies. Draft, edit, and manage confidential correspondence, briefings, and communication on behalf of executive leadership.
  • Oversee daily business operations of the Dean's Office to ensure efficiency, accountability, and consistent service in a fast-paced academic environment. Lead office workflow planning, process improvement, communication systems, and internal service standards. May supervise and train administrative support staff in the Dean's Office and provide functional leadership/coordination for departmental administrative staff across WSB. Develop coverage plans, cross-training, and consistent operating procedures to support continuity of service. Manage office and school resources: inventory, equipment, supplies, facility needs, and technology requests; coordinate with university service units as needed. Greet and assist visitors, faculty, staff, and students. Serve as first point of operational escalation for complex or sensitive issues affecting office function or stakeholder experience.
  • Maintain comprehensive, audit-ready accreditation records for AACSB and other required reporting, ensuring accuracy, integrity, confidentiality, and timely updates. Compile, validate, and organize complex data for accreditation reports, annual reviews, faculty qualification tracking, and strategic metrics. Coordinate documentation requests with departments and administrators; provide guidance on data standards and submission timelines. Develop and manage recordkeeping systems and templates to improve consistency and reduce reporting risk. Ensure compliance with university policies and accreditation standards, proactively identifying gaps or concerns for leadership review.
  • Partner with event coordinators, committees, and WSB leadership to plan and execute school-level events, board meetings, donor engagements, and special functions. Represent the Dean's Office with professionalism and warmth; serve as liaison to faculty, staff, students, and external constituents. Handle sensitive issues with maturity and discretion; anticipate leader needs during absences and facilitate timely resolution of problems. Support selected college strategic initiatives, including operational planning, communications, and coordination of cross-unit projects. Perform miscellaneous job-related duties as assigned.


Qualifications / Licenses / Certifications

Graduation from an accredited institution with a bachelor's degree and one year of experience related to the summary of duties; OR an associate's degree and three years of experience related to the summary of duties; OR any combination of education and/or experience totaling five years.

Preferred Qualifications:
  • Experience supporting senior academic leadership (Dean/Associate Dean/Department Chair level).
  • Experience with accreditation reporting, compliance documentation, or academic assessment systems.
  • Experience supervising or coordinating administrative support staff.

Knowledge
  • Advanced knowledge of academic administrative operations, executive support practices, and confidential records management.
  • Knowledge of university policies, processes, and governance structures.
  • Knowledge of office management methods, budgeting basics, and operational best practices.
  • Strong technology fluency: word processing, spreadsheets/data tracking, email, databases, presentations, and collaboration tools.
