JOB TITLE:

Information Specialist - Office of the Registrar

JOB PURPOSE:

The Information Specialist provides critical support for data management and reporting functions in the Office of the Registrar. This position coordinates, under direction of the supervisory team, all major processes in functional areas of the Office of the Registrar such as registration, records maintenance, graduation eligibility, grading and end-of-term processing. This position provides customer service to fellow Office of the Registrar employees, UW faculty, staff and students, and the general public. The role ensures data integrity within internal systems, supports reporting needs, and facilitates process improvements to enhance operational efficiency.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Enrollment data reporting.
  • Maintain, update, and troubleshoot database systems related to Registrar processing and student records.
  • Assist with developing and distributing standardized reports, surveys, and ad hoc data requests.
  • Verify and validate data for accuracy, ensuring compliance with institutional and external reporting requirements.
  • Assist in automating processes and workflows for improved efficiency within Office of the Registrar.
  • Maintain and update key data tables within Office of the Registrar systems to support accurate reporting and system functionality. Ensure data governance practices are followed to uphold data integrity and compliance.
  • Collaborate with other departments to ensure data consistency and alignment with institutional goals.
  • Provide basic training and guidance on data-related processes for team members.

MINIMUM QUALIFICATIONS:

Education: Bachelor's degree in Data Management, Business, Computer Science, or a related field

Experience: 2 years of work experience showing increased responsibility and independent decision-making

DESIRED QUALIFICATIONS:
  • At least 1 year of experience in data management, reporting, or a related field.
  • Strong analytical and problem-solving skills.
  • Ability to effectively communicate technical concepts to non-technical audiences.
  • Experience using data visualization tools and reporting platforms (e.g., SQL, Tableau, BI, or equivalent).
  • Proficiency with Microsoft Office Suite (especially Excel).
  • Familiarity and experience with use of student information systems (e.g., Banner, Salesforce, Perceptive Content, DegreeWorks).

On-campus: This position provides vital support to campus customers, and the successful candidate must be available to work and perform essential job functions on campus, understanding our location is at 7,220 feet above sea level.
