Job Summary

Provides assistance to the Chair of the department in carrying out responsibilities related to the delivery of academic programs in accordance with departmental, college, and university strategic plans Functioning within the College of Education and Health Professions, the Student Services Coordinator/Administrative Specialist and Coordinator helps coordinate departmental activity with the activities of other units in the College and the University and in collaboration with other members of the administrative team assists in the implementation of College initiatives. This position will report to the Chair of the Department of Teacher Education, Leadership, and Counseling.

Responsibilities

Significant Duties & Responsibilities include: Provides support including responding to inquiries received via telephone, e-mail, mail, and in person. Greets office visitors, provides information, or directs the inquiry to the appropriate department and/or individual to respond.; Coordinates new faculty onboarding needs, i.e. offices, computers, keys, mailboxes, distribution lists, etc.; Prepares and reviews reports and other documents as directed by the Chairs and /or departmental committees.; Makes copies and scans tests, exams, handouts and other items as needed for classes and the departments.; Acts as liaison between faculty and the office of Accommodation and Accessibility in the distribution of exams for students with accommodation.; Works with the various campus offices to help ensure policy and guidelines are met.; Processes incoming mail and handles any mass and/or special mailings for the departments.; Assist Chairs with supervision of student assistants and maintenance of their records.; Handles room reservations for faculty, students and departmental events.; Maintains the bulletin boards and informational signage as needed.; Assists faculty in maintaining and updating content on departments' websites (including coordinating with UITS and University Relations on updates and projects), brochures, newsletters and social media platforms.; Answers and responds to requests for information about the department.; Collects and uploads syllabi to Syllabus Archives.; Assists program coordinators with submitting course information to Section Data Entry in shared services.; Collect and submit faculty office hours to the relevant department Chairs.; Attends department meetings and provides general support/administrative updates, takes meeting minutes and distributes for approval.; Coordinates maintenance and repair of office equipment.; Handles special projects and performs other general support/administrative duties as assigned by the Department Chairs/coordinator.; Coordinating and liaising with the Shared Administrative Support Services Center for requests.; Acts as liaison between faculty, students and other university units/departments and centralized services pools.; Maintains filing systems and departmental records.; Maintains all departmental files, faculty records and oversees departmental inventory of supplies.; Assists with faculty searches in preparing and maintaining applicant's data for both units/departments.; Assists Chairs with the collection, distribution and forward movement of new hires including use of Manager SelfService and Docusign.; Assists Chairs with the preparation of materials for new faculty and student assistant hires and assembles new hiring packets for both units/departments.; Processes various departmental documents such as preparing and reviewing reports and documents including Part-Time faculty agreements, Part-Time payroll, and Full-Time faculty summer agreements.; Maintains an open line of communication with FT and PT faculty to update procedures as mandated by CSU/USG, COEHP, and/or the TLC department. This includes keeping email group members updated to include new faculty and to remove previous faculty each semester.; Oversees the Scholarship Universe application as it pertains to the COEHP Scholarships related to students in the TLC Department. This includes updating the details in Scholarship Universe on an annual basis, triggering the review periods, and entering the student awards in Scholarship Universe.; Works with the TED Scholarship Committee to improve the TED Scholarship application process in Scholarship Universe. This includes updating the individual scholarships and the scoring rubric, as needed, and making it so the student applicants can submit unique essays for each scholarship instead of just one used for all, as it currently stands.; Supervises Federal Work Study students employed by the TLC Department.

Required Qualifications

Required Qualifications include: Proficiency in using basic office software and databases (e.g. Word, Excel, Adobe Acrobat, etc. )

Preferred Qualifications

Preferred Qualifications include: Bachelor's degree preferred.; Knowledge of and experience with higher education systems and processes (preferably CSU/USG) will be an advantage.

Contributes useful ideas for improved performance.; Adherence to University Policies - Must follow system, college/university and department-specific policies and procedures (dress guidelines, professionalism, administrative policies & procedures).; Quality of Work - Must be consistently accurate, thorough, and is accomplished in a professional manner, working efficiently and productively while effectively managing resources (labor, time, materials, etc.).; Reliability/Attendance - Can be relied upon regarding task completion and follow-up, meeting deadlines with accuracy, work quality and customer satisfaction, and exhibits acceptable overall punctuality and attendance record.; Critical Thinking - Must be able to demonstrate proper judgment in decision-making and display effective problem-solving skills.
