General Statement

Provides comprehensive administrative and operational support to the Nursing Programs, including Associate Degree Nursing, Practical Nursing, Advanced Placement Nursing, and related initiatives. Maintains student, program, clinical, accreditation, and regulatory records; coordinates administrative processes; prepares reports and correspondence; and serves as a primary point of contact for students, faculty, clinical partners, and the college community. Supports the Director of Nurse Education, Program Coordinators, and Nursing faculty through exceptional customer service, effective communication, accurate record management, and coordination of program operations.

Hours 11AM-7PM. Some early morning, evening, or weekend availability will be required.

Duties and Responsibilities

  • Serves as a primary point of contact for the Nursing Programs and related initiatives, assisting prospective and current students, faculty, staff, clinical partners, and community members by answering inquiries and directing requests to appropriate individuals or departments.
  • Supports the day-to-day administrative and operational functions of the Nursing Programs and related initiatives and assists the Director of Nurse Education and Program Coordinators with administrative duties necessary for the effective operation of the programs.
  • Collaborates with the Director of Nurse Education and Program Coordinators to develop, implement, and revise administrative processes and procedures to improve program efficiency, productivity, and student service.
  • Maintains accurate and confidential student, program, clinical, accreditation, and departmental records in accordance with college policies, FERPA requirements, and other applicable regulations.
  • Assists students with general questions regarding program requirements, clinical requirements, registration processes, deadlines, and other Nursing Programs and related initiatives procedures, referring students to appropriate faculty, coordinators, or college resources when necessary.
  • Assists the Director of Nurse Education, Program Coordinators, and Clinical Coordinator with administrative activities related to clinical placements, clinical affiliate communications, affiliation agreements, student onboarding requirements, compliance tracking, and related documentation.
  • Coordinates communications to students, faculty, staff, and clinical partners regarding program requirements, deadlines, meetings, events, and other important information.
  • Maintains shared databases, electronic records, and filing systems using various computer programs including Microsoft Word, Excel, PowerPoint, Outlook, Access, SharePoint, and other college systems.
  • Assists with the collection, tracking, and maintenance of student clinical compliance documentation, including immunizations, certifications, background checks, and other program requirements.
  • Supports the Director of Nurse Education and Program Coordinators in the collection, organization, and preparation of data, reports, and documentation required for accreditation, state regulatory reporting, program assessment, and continuous quality improvement initiatives.
  • Creates, compiles, maintains, and distributes reports, correspondence, documents, spreadsheets, presentations, and other program materials requiring a high degree of accuracy and professionalism.
  • Processes interoffice paperwork and electronic requests according to college policies and procedures, including clinical affiliate agreements, RTEs, purchase orders, check requests, staff development forms, travel reimbursement forms, media requests, print shop requests, room reservations, and food orders.
  • Processes and distributes incoming and outgoing mail, correspondence, and packages and maintains departmental filing and records systems.
  • Maintains records and logs related to student petitions, curricular waivers, high-risk appeals, and other student and program matters as assigned.
  • Schedules meetings and events, supports preparation of agendas and materials, maintains calendars as assigned, and assists with meeting coordination and follow-up activities.
  • Assists in the coordination of events and activities for the Nursing Programs, including orientations, information sessions, advisory board meetings, open houses, recognition ceremonies, and other program-related functions.
  • Maintains inventory and coordinates the purchase of office supplies and other approved program materials.
  • Completes payroll-related reporting and other administrative reporting functions as assigned.
  • Locates, compiles, and retrieves information from records, databases, and files in order to prepare reports, respond to inquiries, and support administrative decision-making.
  • Assists other School of Healthcare programs and departments as needed to support institutional goals and student success initiatives.
  • Exercises sound independent judgment and coordinates office operations in the absence of the immediate supervisor or in response to urgent situations requiring administrative support.
  • Actively supports the teaching and learning process by promoting student success, maintaining professional standards, and contributing to a student-centered environment that values academic excellence and innovation.
  • Works collaboratively with faculty, staff, administrators, students, and external partners to foster a culture of collegiality, teamwork, professionalism, and continuous improvement.
  • Embraces the ideals of diversity, equity, inclusion, and belonging and supports the equal rights and dignity of all individuals through respectful and inclusive interactions.

Job Requirements:

Minimum Qualifications

  • Proficiency using Microsoft Office applications including Word, Excel, PowerPoint, Outlook, and database or record management systems.
  • Applicants must have at least (A) two years of full-time experience or equivalent part time experience in office work, or (B) any equivalent combination of the required experience and the substitutions below.


Substitutions:

  1. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience.
  2. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of Massachusetts high school equivalency certificate may be substituted for maximum of eight months of the required experience. *


  • A diploma for completion of a one-year, or equivalent part-time program, in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required experience*.
  • A diploma for completion of a two-year, full-time, or equivalent part-time program in a recognized non-degree granting business or secretarial school above the high school level may be substituted for the required experience. *


Preferred Qualifications

  • Experience supporting nursing, allied health, healthcare, or other regulated educational programs.
  • Experience working with confidential student records and databases.
  • Experience supporting accreditation, regulatory reporting, or compliance-related activities.
  • Experience with SharePoint, student information systems, or healthcare compliance platforms is preferred.
  • Demonstrated ability to communicate effectively with students, faculty, clinical partners, and external agencies.
  • Excellent organizational skills and ability to maintain accurate records.
  • Ability to plan and complete multiple tasks on schedule.
