Performs responsible and complex administrative support or technical program assistance work. Work is performed under general supervision from the administrator. Direct supervision of subordinate personnel may be included in the job responsibilities.

About the Department and/or College


Major/Essential Functions
  1. Provides high-level administrative support for Assistant Vice Chancellor and Foundation Counsel, including scheduling meetings, calendaring deadlines, travel reservations and processing, P-Card receipt tracking and submittal. Provides additional administrative support to the Chancellor's Council team, including assistance with team meetings, communications, travel, P-Card activities, events, promotional materials, and special projects. Anticipates administrative needs, prioritizes assignments, and uses independent judgment to ensure timely andeffective completion of responsibilities.
  2. Serves as the primary team member responsible for daily telephone and front-line support for the department. Professionally engages callers, visitors, colleagues, donors, interviewees, Foundation Board members, and other constituents. Use extensive departmental and institutional knowledge to answer general questions, provide information, direct inquiries to the appropriate individual or department, and take accurate messages. Exercises independent judgment to determine the priority and urgency of telephone calls, inquiries, and other matters requiring attention. Represents Institutional Advancement and the Texas Tech University System with professionalism and exemplary customer service.
  3. Assists with Texas Tech Foundation meetings and events, local or otherwise, and on a quarterly and as needed basis as well as assisting with the annual Matador Society Luncheon for planned gift donors. Responds to changing priorities and provides support wherever needed while maintaining professionalism and a positive ,service-oriented approach.
  4. Serves as a key support partner and collaborates with the Lead Analyst in all Gift Planning marketing activities.This includes providing administrative support with scheduling follow-up activities, preparing donor packets,sending communications, along with other tasks. Manages birthday cards for Matador Society members, includingprinting envelopes and assembling cards, maintaining inventory, and reordering supplies to ensure timely donorstewardship.

Required Qualifications
Bachelor's degree in clerical/administrative area. Two years progressively responsible administrative or related experience, including one-year supervisory experience. Additional job related experience may substitute for required education on a year-for-year basis.

Preferred Qualifications
  • Advanced experience with Microsoft Office products (Word, Excel, Outlook, etc.).
  • Previous work in a university setting or with fundraising.


Pay Range
$19.47 - $25.29 - $31.15
