Job Description:
This role supports the Office of Academic Operations with its day-to-day operations, particularly as they relate to field placements. The position assists the Director of Experiential Learning and Partnerships by compiling data about the number and type of placements needed, matching students to placements, coordinating with field supervisors and cooperating teachers, and completing necessary record-keeping in electronic and paper formats.

Qualifications:
  • Associates degree required; Bachelors degree preferred.
  • Two (2) plus years of experience supporting academic processes such as instructional scheduling and resourcing, or three (3) plus years in a related field that requires substantial planning and scheduling is required.

  • Demonstrated organizational skills, ability to prioritize and handle multiple tasks simultaneously.
  • Demonstrated ability to communicate effectively with external parties, faculty, staff and students.
  • Adept at locating information, managing data and solving problems.
  • Working knowledge of University computer systems, academic programs and processes.
  • Demonstrated commitment to working with diverse populations.


Responsibilities:
  • Manage the schools field placement software. Roll over students, courses, and groups as needed. Initiate and monitor the completion of forms by students, field supervisors, hosts/partners, and faculty. Collaborate with colleagues across the school and university to ensure accuracy of student and course information. Update agency and user contact information. Enter new users, sites, and assignments as needed. Train new users on the software, host user groups, and answer day-to-day questions from users.
  • Initiate, run, and analyze data reports from the schools field placement software. Ensure accuracy of data and reports. Use analysis to confirm ongoing hosts/partnerships and to identify needs for hosts/partners and field supervisors based on enrollment, student needs, and program design. Make recommendations to the Office of Academic Operations regarding quantity of new hosts/partners and field supervisors needed each semester, quantity of students needing transportation, and other information as appropriate.
  • Communicate professionally with students, partner sites, and university faculty and staff to support the Office of Academic Operations, including identifying placement, transportation, and supervision needs, creating reports, and soliciting and organizing feedback on processes and students experiences. Monitor and update forms and communications to field supervisors, hosts, site supervisors, and students each semester. Follow all university policies and procedures related to confidentiality and the Family Educational Rights and Privacy Act.
  • Support the Office of Academic Operations with its day-to-day operations, including participating as a member of a team, attending meetings and school-wide events, welcoming and assisting students, faculty, and guests, and coordinating responses to inquiries. Check-in regularly with members of the Office of Academic Operations, including the Faculty Directors, Curriculum Specialists, and Director of Experiential Learning and Partnerships to ensure continuity of service and communications.
