JOB DESCRIPTION SUMMARY
This position will oversee day-to-day department operations and logistics in the Civil and Environmental Engineering Department.

JOB DESCRIPTION

This position will be working with the Department Head, become proficient in initiating and carrying forward processes in Workday; this will include ensuring that teaching assistants are hired, that peer learning assistants are hired, and that equipment and other purchases take place properly. The person in this position will review and monitor department budgets in operating, designated and grant categories; will review expenditure requests against available funding and budget; review and monitor sponsored awards including accounting for unencumbered expenses, serving as liaison between faculty Principal Investigators (PIs)/co-PIs and the Office of Sponsored Programs; interact with sponsored programs and accounting personnel; organize and maintain electronic proposal and grant records, equipment inventories, department meeting agendas, meeting minutes, and department financial and student/faculty records. Working with department faculty and staff, the person in this position will oversee course scheduling, organize department retreats, advisory board meetings, and other department events. The department will need periodic updating of the department website and news feeds, along with work on newsletters and reports to Alumni. There is also a need for planning and making travel arrangements within WPI policy; review and process P-card transactions; set up meetings, coordinate calendars. Working with other staff, plan ahead for department events, from Project Presentation Day to the Distinguished Speaker Series, from job fairs and industry networking events to accepted-student, prospective student, and BS/MS open houses throughout the year. Finally, there will be department needs not foreseen in this advertisement that the person in this position will be part of meeting, working with others.

Requirements:
  • High school diploma with 3- 5 years of experience preferably in higher education.
  • Strong computer skills, including proficiency with Microsoft Office (Excel, Word, PowerPoint, Access, Outlook) and other office productivity software tools.
  • Strong customer service and interpersonal and communication skills to work with other staff, faculty, students, co-workers, visitors, and parents.
  • Ability to work autonomously and handle multiple tasks simultaneously in a fast-paced deadline-driven environment.
  • Other duties as assigned
