Mailroom Office Assistant VI

Job Summary:

Under the general supervision and guidance of the Mailroom Manager this position is responsible for administrative services and operations of the University Mailroom.

Job Responsibilities:

? Separate and sort mail.
? Weigh mail and packages, label and determine postal or shipping costs.
? Run meter and affix postage.
? Answer telephones, field telephone and in-person inquiries regarding mailroom services and processes in a polite, courteous and professional manner.
? Provide general customer service.
? Process private couriers (DHL, UPS, etc.) and consolidation reports.
? Consolidate reports.
? Reconcile freight charges.
? Bulk mail preparation
? Assist walk-in customers with appropriate mail packaging requirements.
? Monitor and operate postal contract station.
? Record and inventory reports and reconciliation in the contract station.
? Deliver mail and packages with care to their appropriate campus destinations, using University vehicles and hand truck equipment in a safe manner.
? Coordinate/relieve students as necessary.
? Train, supervise and provide direction and assistance to student employees in day to day operations.
? Substitute, when required, for the Mailroom Laborer, including accommodating an earlier shift to procure University mail from USPS pick-up site and other Mailroom Laborer daily duties.
? Other duties as determined by the Mailroom Manager

Minimum Requirements:

? Post high school education preferred.
? Training or experience equivalent to four years of increasingly responsible work experience or related education in shipping and receiving, a corporate mailroom or U.S. Postal Service
? Ability to delegate, train and motivate students and junior level staff
? Demonstrate familiarity or ability to learn and interpret policies and procedures.
? Ability to interpret, assimilate and communicate USPS guidelines and other postal code regulations
? Ability to work in a fast paced, team oriented environment with strong customer service emphasis
? Proficient knowledge of desktop software, including experience in word processing and spreadsheet programs
? Effective oral and written communication skills including correct use of grammar, spelling and punctuation
? Demonstrated ability to develop and maintain consistent, positive communications and work relationships between the department and customers (both internal and external) with tact, discretion and courtesy
? Knowledge of standard office procedures and functions
? Effective supervisory skills
? Understanding of basic inventory and accounting procedures
? Ability to maintain confidentiality
? Valid CA drivers license and good driving record required.
? Occasional overtime may be required
? Mail processing may require work during periods of university closure.

Additional Knowledge, Skills, and Abilities:

? Ability to lift up to 70 pounds without assistance and with proper lifting methods.
