Payroll Specialist II

Position Status: Temporary/Contract Positions

Basic Function:
Oversee the preparation, processing and distribution of the biweekly and monthly and sick buy back payrolls. Supervise and coordinate the scheduling and work flow of student workers. Acts as lead in office in absence of Payroll Manager.

Principal Duties and Responsibilities

  • Analyze and verify all incoming documents and data pertaining to the weekly and monthly payrolls. Using these documents, input additional information for deductions, distribution, lost time and time input as necessary.
  • Understand and interpret the facilities and campus police union contract with regard to payroll.
  • Verify and edit electronic and paper time cards.
  • Reconcile total hours prior to processing final payrolls.
  • Use payroll reports to answer all inquiries pertaining to staff, student and monthly payrolls.
  • Check bank reports for returned direct deposits and initiates bank reversals when needed, completes the necessary memo for accounting.
  • Maintains spreadsheet for international employees with government treaties.
  • Sends vacation balance report quarterly to employees and supervisors
  • Enters all benefits and deductions to be processed with payrolls
  • Annually calculate, maintain and update the system for lost time and vacation accruals for weekly paid employees in accordance with union contract and or policy manual.
  • Complete check requests and mail payment for garnished wages in accordance to Mass DOR.
  • Maintain and verify new and changed employee direct deposit account information.
  • Maintain union dues information; federal and state tax deposits.
  • Coordinate with payroll manager timely deposits for federal and state tax deposits.
  • Assists payroll manager with reallocations, manual checks, voids and replacement checks.
  • Assist in the preparation of system calendars including vacation and holiday calendars
  • Make payments and journal entries as necessary.
  • Serve as backup and lead for the Payroll Specialist I position.
  • Other duties as assigned.

    Position Requirements

  • High school education required plus additional schooling in business/accounting with at least five years related work experience required.
  • Detail and deadline oriented with excellent communication and organizational skills.
  • Ability to interact well with others. Great Customer Service skills.
  • Ability to handle multiple tasks simultaneously and work well with others.
  • Strong math skills required.
  • Ability to handle confidential information.
  • Microsoft Office skills a must.
  • Must have a good sense of humor.
